Recruitment for this role is being facilitated by Exant HR on behalf of a specialist clinic based in Deakin, Canberra.
About the Company
Our client is a well-established specialist psychiatry practice committed to delivering high-quality patient care.
With a focus on professionalism, innovation and continuous improvement, the clinic provides a team-oriented and supportive environment for both patients and staff.
They are seeking an experienced, organised and proactive Practice Manager to lead operational performance and drive ongoing improvements across the practice.
About the Role
Working closely with the Clinic Director, psychiatrists, nursing staff and reception team, you will oversee the day-to-day operations of the practice while driving continuous improvement across administration, technology, finance and patient experience.
You will be trusted to identify opportunities for improvement and implement practical solutions that enhance efficiency, compliance and service quality.
Key Responsibilities
Oversee the daily operations of the clinic and ensure smooth workflow across all services.
Lead and support the reception and administrative team while working collaboratively with nursing staff.
Coordinate staff rostering, onboarding, training and performance support.
Develop and continually improve administrative systems, workflows and standard operating procedures.
Lead the digital transformation of clinic processes, including paperless workflows and electronic systems.




Develop structured orientation and training programs for reception staff.
Ensure compliance with Medicare (MBS), Australian Privacy Principles (APP), workplace legislation and healthcare regulations.
Maintain clinic policies, procedures and accreditation readiness.
Liaise with external providers including IT support, accountants, pharmacies, suppliers and contractors.
Support private billing, Medicare claiming and financial administration.
Assist the bookkeeper with account reconciliation and financial processes.
Prepare financial and billing reports for management.
Monitor outstanding accounts and actively manage debtor follow-up.
Assist with business growth initiatives, including recent services, operational improvements and future clinic expansion.
Participate in quality improvement activities to enhance the patient experience.
About You
You are a confident and approachable leader who enjoys creating order, improving systems and helping a team succeed.
You will ideally have:
Previous experience managing a medical practice or healthcare facility, preferably within a specialist practice.
Excellent leadership and people management skills.




Strong organisational and project management abilities.
Experience with Medicare, DVA, private health insurance billing and patient management software.
Sound understanding of Australian Privacy Principles (APP) and healthcare compliance requirements.
Experience with financial reporting, budgeting and reconciliation.
Excellent written and verbal communication skills.
High attention to detail and the ability to manage multiple priorities.
Confidence using technology and enthusiasm for implementing digital solutions and workflow automation.
Desirable Qualifications
Diploma of Practice Management, Business Administration or a related qualification.
Experience within specialist medical practice management.
Experience with healthcare accreditation and quality systems.
