About Harmony Auto
Harmony Auto is a rapidly growing international automotive dealership group operating across Australia.
As our dealership network continues to expand, we are strengthening our Legal and Compliance function to support consistent governance, documentation, and compliance processes across multiple locations.
We are now seeking a highly organised and detail-oriented Legal & Compliance Administrator to join our team.
About the Role
Reporting to the Legal & Compliance Manager, the Legal & Compliance Administrator will provide administrative and coordination support across the company’s compliance and legal operations.
The role will help build and maintain a centralised compliance administration system, ensuring key obligations, contracts, leases, deadlines, supporting documents, and follow-up actions are accurately recorded and monitored.
This is an administration and coordination-focused position. Legal advice, contract interpretation, negotiation, risk decisions, and formal approvals will remain the responsibility of the Legal & Compliance Manager and relevant legal advisers.
Key Responsibilities
Compliance Administration
- Maintain the company’s central compliance obligations register and supporting records.
- Track key compliance deadlines, renewals, responsible owners, and required evidence.
- Follow up with dealerships and internal departments for outstanding documents and actions.
- Maintain action trackers and escalate overdue or incomplete matters to the Legal & Compliance Manager.
- Assist with preparation of compliance reports, dashboards, and audit records.
- Support consistent compliance processes across multiple dealership locations.
Contract & Legal Administration
- Maintain an organised central repository for contracts and legal documents.
- File executed contracts, supporting documents, correspondence, and approvals.
- Prepare and maintain contract timelines and key-date trackers.
- Assist with document collection and administrative preparation for legal and compliance matters.
- Ensure records are complete, accurately named, and easily retrievable.
Lease & Property Records
- Maintain the company’s lease register across dealership and business premises.
- Record key lease terms, option dates, renewal dates, notice deadlines, responsible owners, and document status.
- Monitor upcoming deadlines and escalate key dates in advance.
- Maintain supporting lease and property documentation.
Coordination & Process Support
- Coordinate information between the Legal & Compliance team, dealership managers, and other internal departments.
- Support the implementation of standard compliance workflows, checklists, and document requirements.
- Assist with continuous improvement of compliance administration and record-management processes.
- Support the Legal & Compliance Manager with general administrative and project-related tasks.
What We’re Looking For
Required
- Strong administration, document management, and organisational skills.
- High attention to detail and accuracy.
- Ability to manage multiple deadlines, records, and follow-up actions simultaneously.
- Strong written and verbal communication skills.
- Confidence following up with stakeholders and coordinating information across different teams.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Ability to handle confidential and sensitive information professionally.
Highly Regarded
- Previous experience in legal administration, compliance administration, governance, risk, property administration, or contract administration.
- Experience maintaining compliance registers, contract registers, lease registers, or similar tracking systems.
- Experience within automotive, retail, property, or a multi-site business environment.
- Qualification in Law, Business, Compliance, Administration, or a related discipline.
- Bilingual English and Mandarin capability is an advantage.
What We Offer
- Market-competitive salary of $62,000 – $70,000 + Superannuation.
