Support a High-Performing Branch and Enhance City Operations
Are you an organised, detail-oriented administrative professional with a knack for supporting dynamic teams? The City of Gold Coast is seeking a motivated Branch Administrator to provide comprehensive administrative support, helping us deliver high-quality services and enhance the Gold Coast way of life.
Position Summary
As a Branch Administrator, you’ll be supporting a branch, responsible for a broad range of administrative functions. You’ll work closely with the General Manager, Executive Managers, and stakeholders to facilitate efficient operations, ensuring the branch’s reputation for excellence is maintained. Your proactive approach and communication skills will support the day-to-day activities and priorities of the branch and contribute to a positive workplace culture.
About the team and Workplace
You’ll join a collaborative and solutions-focused Business Support unit, reporting to the Supervisor Business Support but working directly with your assigned branch. The workplace values adaptability, teamwork, and a customer-centred approach, with the goal of delivering seamless assistance to internal and external stakeholders.
Key Responsibilities
- Provide comprehensive administrative support to a branch, including General Manager and Managers.
- Organise meetings and functions, handling logistics, agendas, and follow-up actions.
- Manage enquiries, escalating where appropriate,
and enhance customer service through branch knowledge.
- Maintain and update intranet and SharePoint content for the branch.
- Prepare internal communications and documents, ensuring adherence to corporate communication guidelines.
- Raise procurement requests and manage other City system requests (e.g., People Portal).
- Conduct monthly Safety and Wellbeing inspections and update Safety noticeboards.
- Contribute to continuous improvement by collecting information, benchmarking, and supporting change management processes.
- Provide meeting support for Executive Secretariat duties when required.
Skills and Experience
- Proficiency with Microsoft Office suite (Word, Outlook, Excel, PowerPoint, Teams).
- Excellent written and verbal communication skills, with a professional and customer-focused approach.
- Ability to organise, plan, and execute tasks efficiently and adapt to changing priorities.
- Strong analytical, critical thinking, and research skills.
- Experience in following and developing systems and processes for information management.
- Demonstrated ability to work collaboratively with a range of stakeholders.
- Experience in agenda pack creation and minute taking at an Executive level
Qualifications
- Certificate IV in Business Administration or equivalent knowledge and experience (desirable).
- No mandatory tickets or licences required.
