Job Title – People Operations & Experience Coordinator

Work Type – Full Time, Ongoing

About the role

As the People Operations & Experience Coordinator, you play a vital role in ensuring the moments that matter across the employee journey are organised, supported and consistent. You provide reliable coordination and administrative support across people processes, helping leaders and employees navigate onboarding, role changes, leave, flexible work and day‑to‑day queries with clarity and confidence.

Acting as the operational backbone of the People & Capability function, you keep records accurate, workflows moving and communication flowing between teams and partners. Your work enables specialists to focus on strategy and advisory, while employees experience a professional, seamless and people-centred service.

Key responsibilities

- Act as a first point of contact for people queries, triaging requests and ensuring timely resolution or escalation.




- Coordinate employee lifecycle processes including onboarding, role changes, leave, flexible work, return‑to‑work and offboarding.
- Prepare and manage people documentation, ensuring accuracy, compliance and timely delivery.
- Maintain employee records, HRIS data, trackers and registers to ensure information is current and audit‑ready.
- Support onboarding and induction logistics to deliver a positive new starter experience.
- Assist with reporting, data checks and reconciliations to support governance and decision‑making.
- Provide administrative support across payroll, remuneration, learning and development, and compliance processes.
- Coordinate meetings, training sessions, surveys and people initiatives, ensuring smooth delivery and follow‑through.
- Support vendors, purchase orders, invoicing and general administration across P&C;, Talent Acquisition and Facilities.
- Contribute to continuous improvement by identifying opportunities to enhance processes and employee experience.

Who you work with

You will work closely with the People & Capability team and collaborate with payroll, Finance, IT, Communications and project teams, as well as leaders and staff across the organisation. You will also engage with People & Capability committees, working groups and forums, and coordinate with external partners including third‑party providers, payroll and HRIS vendors, wellbeing consultants, safety advisors and workers’ compensation and return‑to‑work specialists.

What we are looking for

- Experience in administration, coordination or operational support, from HR, people services,



or any environment where you’ve had to juggle competing demands and keep things moving.
- A service mindset. You genuinely want to make things easier for the people you work with.
- Serious attention to detail and the discipline to keep records, trackers and documentation accurate and up to date.
- Comfort with digital tools and systems, and the confidence to pick up new ones quickly.
- The ability to stay calm and prioritise well when things get busy or unpredictable.
- Clear, qualified communication, and good judgement handling sensitive information.
- A collaborative streak balanced with real initiative, you don’t wait to be asked.
- Bonus points if you’ve got exposure to Oracle, Power BI, Excel, SharePoint design or similar systems.
