Castle Hill Toyota is seeking a dedicated and organised Registration Clerk to join our administration team on a full-time basis. Based at our dealership in Castle Hill, this role is essential to ensuring the smooth processing and management of vehicle registrations and related documentation. As a Registration Clerk, you will play a key part in supporting our sales and customer service operations by managing the administrative requirements associated with vehicle purchases and registrations. This position requires attention to detail, excellent organisational skills, and the ability to work efficiently in a fast-paced automotive environment.

What you'll be doing

- Processing vehicle registration applications and documentation in accordance with Transport for NSW requirements
- Preparing and organising registration documents, including ownership transfers, transfers of encumbrance notices, and safety compliance certificates
- Liaising with customers to collect necessary documentation and information required for vehicle registration
- Maintaining accurate and up-to-date records of all registration applications and completed registrations
- Managing filing systems and databases to ensure all documentation is properly stored and easily retrievable
- Following up with customers and relevant authorities to ensure timely completion of registration processes
- Supporting the sales team by providing administrative assistance with vehicle paperwork and customer handover processes
- Answering customer enquiries regarding registration status and providing guidance on required documentation
- Ensuring compliance with all automotive industry regulations and dealership policies
- Assisting with general administrative tasks as required to support the smooth operation of the dealership





What we're looking for

- Proven experience in an administrative or registration role, preferably within the automotive or dealership industry
- Solid knowledge of NSW vehicle registration processes and requirements set by Roads and Maritime Services
- Excellent written and verbal communication skills
- Exceptional organisational and time management abilities with strong attention to detail
- Proficiency with computer systems and office software, including experience with registration management systems
- Ability to work independently and as part of a team in a busy environment
- Customer service orientation with a professional and courteous manner
- Reliable and punctual with a commitment to maintaining high standards of work
- Valid driver's licence is desirable
- Knowledge of automotive terminology and processes is advantageous
