Client Onboarding Specialist | Own the New-Client Experience | Growing Public Practice

Integritas is a growing accounting and advisory firm, and we're creating a dedicated Client Onboarding Specialist role to take ownership of how every new client joins the firm — from the first "yes" through to a fully set-up, compliant file ready for our accounting team.

This is more than admin. Client onboarding in public practice has become one of the most important processes in the firm — the client's first impression, and increasingly a genuine compliance function.

With the new AML/CTF obligations now applying to accountants and the ATO's client-to-agent linking process, getting onboarding right protects the practice and sets every client relationship up to succeed. We're looking for someone organised, personable and process-driven to own it end-to-end.

What you'll be doing

- Managing the end-to-end onboarding of every new client against a consistent, compliant checklist — from acceptance through to handover.





- Running client acceptance and due diligence — identity verification (KYC), conflict checks, and risk assessment in line with the firm's AML/CTF obligations.

- Preparing and issuing engagement letters, terms of business and fee arrangements, and managing ethical clearance letters to previous accountants (and obtaining prior-year files).

- Coordinating ATO client-to-agent linking, adding clients to Online Services for Agents, and managing ASIC appointments and registrations.

- Setting up clients in our practice-management system and accounting software (XPM , Xero, MYOB, QuickBooks) — records, ledgers, bank feeds, portal access and permanent-file information.

- Delivering a warm, professional welcome experience, setting expectations, and courteously chasing any outstanding information.

- Handing a clean, complete file to the accounting team and setting the client up on our lodgement/compliance program.

- Owning and improving the onboarding process — templates, automation, turnaround times — and reporting on volumes and bottlenecks.

- Maintaining the current client data base to ensure compliance.

annual re-engagement across the client base, and broader client-experience and systems responsibilities.)

About you

Essential

- Experience in a public-practice accounting firm or professional-services environment (accounting, legal, financial planning).

- First-class organisation and administration — you keep many moving parts on track without dropping any.

- Excellent written and verbal communication and a genuinely client-focused, professional manner.

- Confident with cloud practice and accounting software (Xero / Xero Practice Manager, MYOB, QuickBooks) and document/portal systems.

- High attention to detail and discretion with confidential, sensitive information.

Highly regarded

- Exposure to AML/CTF / KYC and client-acceptance / risk processes.

- Familiarity with ATO Online Services for Agents, client-to-agent linking, and ASIC portals.

- Experience with engagement letters, ethical-clearance letters, and TPB / APES obligations.

- Process-improvement or onboarding-automation experience (e.g. FYI, Seamlss, FuseSign, Content Snare).
