Event Workforce Coordinator

Event Services Australia (ESA) is a national labour hire business supplying event staff to venues, festivals, sporting events, concerts and major events across Australia.

We’re looking for an Event Workforce Coordinator to join our Perth office and become an significant part of the team behind the scenes making all of this happen.

You’ll be behind the scenes helping make sure the right people are recruited, onboarded, rostered and ready to work when our clients need them.

So, what does the job actually involve?

This is a varied role where no two days are necessarily the same.

One day you might be reviewing applications and video interviews. The next, you could be building a roster for a major event, answering staff questions, following up onboarding requirements or helping solve a last-minute staffing problem.

You’ll work across the full workforce function of ESA, supporting our team and helping keep everything moving.

Your work will include:

Recruitment & People

- Review applications, CVs and video interviews.

- Assist with recruiting new event staff across Australia.

- Communicate with applicants throughout the recruitment and onboarding process.

- Help assess candidates and identify the right people for our workforce.

- Maintain accurate staff records and workforce information.

- Build positive relationships with our large casual workforce.

Onboarding & Compliance

- Guide new staff through our onboarding process.

- Follow up outstanding documentation and requirements.

- Check credentials where required.

- Make sure staff are properly onboarded and ready to accept work.

- Assist with maintaining workforce compliance and records.

Rostering & Workforce Coordination

- Build and manage staff rosters for events and venues across Australia.





- Match available staff to shifts based on client requirements, skills and availability.

- Communicate shift offers, confirmations and changes.

- Manage last-minute changes and help fill staffing gaps.

- Monitor cancellations, no-shows and attendance issues.

- Help ensure our clients have the workforce they have requested.

Staff & Client Communication

- Respond to staff enquiries about shifts, events, availability and general questions.

- Communicate with clients regarding staffing requirements and updates.

- Work with the our team to resolve staffing issues quickly.

- Provide professional, friendly and helpful customer service to both our staff and clients.

Administration & Systems

- Work across our workforce and operational systems, including Guardhouse, Monday.com, Hireflix and other platforms.

- Review timesheets and attendance information.

- Assist with payroll and workforce administration.

- Prepare staff communications, event information and operational documents.

- Maintain accurate records and reporting.

What are we looking for?

Honestly, we’re more interested in the person than the perfect résumé.

You might have experience in recruitment, HR, rostering, administration, customer service, labour hire, events or workforce management.

Or you might simply be someone who is exceptionally organised, picks things up quickly and genuinely enjoys working with people.

The person who succeeds in this role will be:

- Comfortable working independently while also being part of a small team.

- Someone who enjoys being busy and having variety in their day.

Experience with rostering or workforce platforms such as Guardhouse, Deputy or Tanda is excellent, but definitely not essential.

Experience with Hireflix, Monday.com, recruitment systems or labour hire is also advantageous.

The flexibility

We know that not everyone wants or needs a traditional 9–5, five-day-a-week role.

That’s why we’re offering flexibility around how the position works.

We’re looking for someone who can commit to a minimum of 3 days per week, through to someone looking for a full-time, 5-day-a-week position.

We’re also flexible around working hours.

School hours? We can work with that.

Prefer an earlier start and earlier finish? Potentially.

The position is based in our Perth office and is 100% office-based.
