Key Responsibilities
- Manage all aspects of general office administration, including correspondence, document management, filing systems, and record keeping.
- Develop, implement, and maintain office processes, procedures, and systems to improve efficiency, consistency, and business performance.
- Schedule and coordinate meetings, appointments, training sessions, and company events.
- Process invoices, purchase orders, accounts documentation, and expense reports accurately and within required timeframes.
- Maintain office supplies, equipment, and inventory, ensuring resources are available to support daily operations.
- Answer and direct telephone calls, emails, and enquiries in a professional and timely manner.
- Support human resources activities, including maintaining employee records, onboarding new team members, coordinating training, and assisting with recruitment administration.
- Prepare reports, presentations, correspondence, and other business documentation using Microsoft Office and related software applications.
- Liaise professionally with clients, suppliers, contractors, and service providers, fostering positive business relationships.
- Ensure compliance with company policies, procedures, and workplace health and safety requirements.
- Identify opportunities to improve administrative workflows and recommend practical solutions to enhance productivity and service delivery.
- Maintain confidentiality and handle sensitive business information with discretion and professionalism.
- Provide administrative support to management and staff as required to assist with the smooth operation and growth of the business.
- Assist with special projects and business improvement initiatives as directed.
What we're looking for
- Proven experience in an office administration, office management, or similar administrative support role.
- Demonstrated ability to develop, document, and improve business processes, procedures, and administrative systems.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and the ability to quickly learn new software and business systems.
- Exceptional organisational and time-management skills, with the ability to manage competing priorities and meet deadlines in a rapid-paced environment.
- Strong written and verbal communication skills, with a high level of attention to detail and accuracy.
- Professional telephone manner and excellent interpersonal skills, with the ability to build positive relationships with colleagues, clients, suppliers, and stakeholders.
- A proactive approach to problem-solving, with the confidence to identify opportunities for improvement and implement effective solutions.
- Ability to work independently, take ownership of responsibilities, and contribute positively as part of a collaborative team.
- Basic bookkeeping, accounts administration, or financial management knowledge, or a willingness to learn.
- High levels of integrity, discretion, and confidentiality when handling sensitive business and employee information.
- Strong customer service focus and a commitment to delivering a professional experience for both internal and external stakeholders.
- Adaptability and willingness to support a variety of business functions as the needs of the organisation evolve.
- Previous experience within the construction, building services, trades, insurance, or property repair industries is preferred. Knowledge of construction projects, insurance repairs, claims processes, scheduling, contractor coordination, and industry-related administration will be highly regarded.
- Relevant qualifications in Business Administration, Office Management, or a related field will be highly regarded.
