Administrative Assistant – Learning & Teaching

About the Role

This is an exciting opportunity for a dynamic and enthusiastic administrative assistant to join the Eastern Health Institute | Learning & Teaching (L&T;) Directorate. This role is integral in managing systems and processes to support our education team in the provision of clinical education and training in acute specialty areas across Eastern Health.

The successful applicant will work closely with L&T; leaders to coordinate administrative duties, including but not limited to database maintenance, reporting, room bookings, meeting documentation, scholarship activities, and applicant management for recruitment processes, including Transition to Specialty Practice (TSP) and Postgraduate intakes.

About You

The role requires well developed customer service and communication skills, excellent organisational and prioritisation skills, IT expertise,



and the ability to work under pressure whilst maintaining attention to detail.

To be successful in this role you will possess:
Experience in the provision of administrative and secretarial support services, including preparation of agendas, minutes and providing support to committees as required
Intermediate to advanced knowledge of Microsoft Office and M365 products (e.g. Word, Excel, Outlook, Teams, One Drive, and PowerPoint)
Highly developed customer service and interpersonal skills
Exemplary communication and organisational skills, with high attention to detail
A proactive approach to work goals and initiative to drive changes to improve service delivery
An ability to work effectively both individually and collaboratively as part of a diverse team
Prior experience within the healthcare industry (desirable)
Knowledge of medical and educational terminology (desirable)
Experience with online learning management systems e.g. iLearn (desirable)

Healthcare workers are strongly recommended to follow COVID vaccination recommendations provided in the Australian Immunisation handbook (based on ATAGI advice). Seasonal vaccination against influenza is a mandatory requirement of this role and an offer is conditional on this being up to date prior to employment. Those that are offered and/or start between January and April do not require an up to date vaccination for influenza to progress providing they are aware of its requirement later in the year. Those that are offered and/or start between May and December require the up to date influenza vaccination prior to offer.
