Chinese Speaking Supply Chain/Logistics Coordinator

Overview:

We are seeking a Supply Chain/Logistics Coordinator with Mandarin proficiency to play a pivotal role in ensuring smooth product ordering, delivery, and customer satisfaction. As a key member in the Product and Service team, this role involves collaborating with both overseas manufacturers and suppliers and local partners for product sourcing and delivering, which is vital for maintaining an efficient supply chain.

Key Responsibilities:

Overseas Supplier/Manufacturer Coordination:

- Liaise with international manufacturers to place product orders, ensuring the timely procurement of inverters and batteries in alignment with sales forecasts and customer demands.

- Oversee the entire supply chain from overseas suppliers to warehouse facilities, ensuring products are shipped on time and adhere to quality standards.

- Collaborate with suppliers to negotiate pricing, delivery schedules, and payment terms. Reviewing contracts to ensure the best terms for the company.

Logistics and Delivery Oversight:

- Coordinate shipping arrangements with overseas suppliers, including communicating with forwarders, and managing customs documentation, import/export regulations, and timely deliveries.

- Work with third party logistics company or warehouse teams to track incoming shipments, verifying that products meet quality standards and are ready for distribution.

Customer Communication:

- Provide timely updates to customers regarding product delivery status, manage expectations on potential delays, and offer solutions to resolve issues quickly.

- Assist customers with any post-delivery issues, including returns, replacements, and technical support for product installation.

Cross-functional Collaboration:

- Work closely with Sales, Finance and Customer Service teams to ensure that customer orders align with available stock, forecasting, and manufacturing schedules.





- Develop long term strong relationships with key overseas suppliers, monitor their performance, and resolve any discrepancies in orders or product quality issues.

- Perform some administrative duties to support supply chain and logistics operations as required.

Reporting and Documentation:

- Maintain comprehensive records of orders, shipments, customs processes, and delivery timelines. Report regularly on delivery status to senior management.

- Analyse delivery data to identify trends and areas for improvement in supply chain processes, helping optimise future orders.

Skills and Qualifications:

- Knowledge of managing international shipments, customs regulations, and inventory control.

- Experience in warehouse management.

- Familiarity with inverters, batteries, and renewable energy systems, along with their technical specifications.

- Ability to effectively communicate with overseas suppliers, customers, and internal teams, especially across different time zones.

- Strong ability to negotiate favourable terms with international suppliers while maintaining strong relationships.

- Ability to resolve delays, quality issues, and logistical challenges quickly and efficiently.

- Strong organisational skills, time management skills, attention to detail, high initiative, and effective prioritization abilities.

- Resilient to stress and able to thrive in a fast-paced, high-pressure, and rapidly changing environment.

- Proficiency in Mandarin Chinese and fluency in English
