An exciting opportunity exists for an experienced Administrator & Compliance Coordinator to join a well-established small business servicing major Tier 1 construction, civil and infrastructure projects across Victoria.This is a highly varied role that combines compliance coordination, project administration and operational support.
We are specifically seeking candidates with previous compliance experience within the construction, civil, infrastructure, utilities or related sectors who understand contractor onboarding, site inductions and the importance of maintaining accurate compliance records across multiple projects.With an immediate requirement and the potential for a long-term permanent chance, this role would suit someone who enjoys taking ownership, thrives in a fast-paced environment and is looking to join a business where their contribution is genuinely valued.About the RoleBased full-time in the office in Tottenham, you'll report directly to the Office Manager and become a key member of a collaborative team.
This is an office-based position offering flexible working hours, with start times available from 7:00am onwards.Compliance & Site CoordinationManage employee, contractor, vehicle and asset inductions across client and project portalsUpload and maintain compliance documentation for major project sitesCoordinate site access requirements for staff, contractors,
vehicles and equipmentSchedule staff inductions and risk assessmentsMaintain staff qualifications, licences, training records and compliance registersMonitor compliance registers and ensure documentation remains currentManage vehicle and asset servicing registers and communicate upcoming servicing requirementsPrepare vehicles and assets for site induction requirementsSupport plant, vehicle and equipment compliance activitiesAdministration & Operations SupportAct as a first point of contact for customer and contractor enquiriesCoordinate on-hire, off-hire, relocation and servicing requestsManage purchase orders and quote requestsLiaise with operations and warehouse teams to ensure assets are prepared for delivery and returnMaintain accurate records within internal CRM and administration systemsProvide general administrative support across multiple business divisionsAssist with a variety of ad hoc projects and support tasks as requiredReporting & DocumentationMaintain company compliance and operational registersAssist with waste and water servicing data entryComplete monthly sustainability and social procurement reportingSubmit documentation and log sheets to relevant authoritiesMaintain testing and tagging records,
risk assessments and servicing schedulesTrack on-hire and off-hire assets and maintain accurate asset registersAbout YouTo be successful in this role, you will have:Previous experience in Administration, Compliance Coordination, Project Administration or Construction AdministrationDemonstrated compliance experience within the construction, civil, infrastructure, utilities or related industriesExperience managing contractor onboarding, inductions, compliance documentation and site access requirementsExposure to Tier 1 construction, civil, infrastructure, utilities or rail projectsStrong understanding of contractor management processes and compliance requirementsExcellent organisational skills and attention to detailProven ability to manage multiple priorities and deadlinesStrong communication and stakeholder management skillsIntermediate Microsoft Office skills, particularly ExcelExperience using compliance and induction platforms such as Damstra, IdeaGen, 3DS / 3D Safety, Chekrite, HammerTech, Rover or similar systems will be highly regarded.What's on Offer?
