Business Support Officer (Administration, Compliance & Finance)

Yamba Welding & Engineering has been building commercial vessels on the NSW North Coast for more than 50 years.
We are 100% Australian owned and operated, and part of The Whiskey Project Group alongside our sister company NAIAD.
Our boats go to people who depend on them: Defence, police, marine rescue and emergency services across Australia and beyond.
Our group has delivered more than 200 vessels to government customers since ****, and most of our work comes from return customers.
Behind every one of those vessels is a paper trail that has to be complete & compliance records, quality documents, job cards & customer handover packs.
We have held ISO **** certification since **** and ISO ***** since ****, and our standards only hold because someone keeps that side of the business in order.
That someone is who we are looking for.
About the role
This is a genuine all-rounder role at the centre of the business, reporting to our Finance Manager and working with every team we have & design, production, projects, service and commercial.
You will make sure the documentation behind each vessel is complete and accurate, keep our quality and compliance systems current, and look after day-to-day accounts and business administration.
It suits someone organised and persistent & the kind of person who notices the one form that has not come back, follows it up without being asked, and takes quiet satisfaction in a file that is genuinely finished.
Variety is the appeal here: no two days, and no two vessels, look quite the same.
What you will be doing
Creating job cards and making sure they are completed in full before a vessel is signed off
Lodging Certificate of Survey applications with AMSA and liaising with the certified surveyor on compliance documentation
Producing the customer Information Folder & manuals, warranties and handover documents
Arranging vessel and trailer registration, and maintaining the vessel and trailer registers
Taking weekly progress photos and keeping customers updated on their build
Supporting sea trials & arranging logistics, capturing trial data, photos and video
Tracking outstanding items across projects and driving them to completion
Quality and business compliance
Maintaining the QA master document register & version control, amendments, and retiring superseded documents
Coordinating our annual external certification audits and supporting internal audits
Administering problem reports and corrective actions through to closure
Maintaining training, ticket and licence registers, and organising training as required
Scheduling calibrations and inspections, and keeping the records current
Preparing the weekly toolbox talk agenda
Finance and business support
Assisting with accounts payable function
Assisting with data entry
Maintaining the electronic records system
Coordinating vessel transportation, freight and logistics
Attending meetings and taking minutes
What you will bring
Demonstrated experience in business administration, document control,
compliance or a similar all-round support role
Accounting software experience (ideally MYOB)
Genuinely excellent organisational skills, and the persistence to chase things through to completion
Strong attention to detail & you notice what is missing
Confident communicating with people at every level, from the workshop floor to external auditors and customers
Sound Microsoft Office (word/excel) skills
A current Australian driver's licence and the right to work in Australia
Experience with a certified quality management system (ISO ****) or work health and safety system (ISO *****)
Experience in manufacturing, marine, construction, defence or another regulated industry
Familiarity with regulatory or certification processes & AMSA experience would be an advantage, though we will teach the marine detail to the right person
We are more interested in your organisational discipline than your industry background.
If you have run administration and compliance properly somewhere else, we can teach you boats.
