About the Role
We are seeking a warm, organised, and experienced
Bookkeeper & Office Administrator
to join our team in a core dual-function role. You will be the friendly face at the front of our center, ensuring a welcoming space for children, families, therapists, and visitors while maintaining accurate, reliable financial and operational processes behind the scenes.
This is a dynamic position for someone who enjoys variety, loves bringing order to daily operations, and takes pride in executing end-to-end bookkeeping with outstanding attention to detail.
Key Responsibilities
Invoicing & Billing:
Manage clinical invoicing and receipting via Zanda, follow up on outstanding accounts, and support families with administrative/billing queries.
Accounts Payable & Receivable:
Enter and upload Accounts Payable invoices and issue official donation receipts.
Reconciliations:
Download Stripe and Square payments and perform routine bank and credit card reconciliations.
Tracking & Reporting:
Record and track allocated funding utilisation in Excel spreadsheets.
Finance Support:
Work closely with and provide key operational support to the Finance Lead.
Office Administration
Reception & Client Care:
Welcome children, families, therapists, volunteers, and visitors warmly upon arrival.
Daily planning:
Ensure that appointments are confirmed, clinicians are present, centre is ready for the day.
Enquiries:
Oversee central communications, including phone calls, general email inboxes, and initial enquiries.
Office Coordination:
Keep the centre organised, welcoming, and tidy; order stationery, clinical/office supplies, co-ordinate cleaners and essentials.
Operational Support:
Coordinate volunteers, streamline administrative workflows, prepare to welcome new employees and support the broader team with day-to-day operational tasks.
About You (Selection Criteria)
Bookkeeping Experience:
Proven hands-on experience managing accounts payable, accounts receivable, and bank reconciliations.
Software Proficiency:
Strong experience with
Xero
. Familiarity or confidence learning practice software (such as Zanda and Keela) and payment gateways (Stripe & Square) is highly regarded.
Intermediate Excel Skills:
Proficient with Microsoft Excel for reporting and tracking data.
Organisational Skills:
Exceptional attention to detail with the ability to prioritise tasks effectively in a busy office environment.
Communication & Personal Attributes:
Warm, approachable, and compassionate, with outstanding written and verbal communication skills.
