Help us make smarter decisions about how a national mobile workforce is deployed
Mobile Screening is seeking an experienced workforce planner to improve how we allocate field employees, organise regional work and use available capacity within our Audiometric and Spirometry Screening division.
This is not a traditional scheduling administration role.
You will assess more complex field allocations, review the forward schedule for opportunities to improve efficiency, negotiate practical changes with clients and help us develop a more sophisticated approach to workforce planning.
About Mobile Screening
Mobile Screening provides workplace health screening and occupational hygiene services to organisations across Australia.
This role will focus on our Audiometric and Spirometry Screening division and the field employees who deliver hearing and lung function testing at client workplaces nationally.
The work spans metropolitan, regional and remote locations, creating a wide-ranging planning environment involving employee location, competencies, availability, travel, vehicles, equipment and client requirements.
About the role
You will take responsibility for more complex workforce planning and scheduling decisions within our Audiometric and Spirometry Screening division, while also proactively reviewing the forward schedule for opportunities to improve efficiency and use available capacity more effectively.
Your involvement will typically be required where:
there is more than one reasonable allocation option;
substantial travel or accommodation may be required;
work involves multiple locations, employees or field days;
there is an opportunity to combine geographically aligned work;
existing bookings may need to be rearranged;
capacity or workforce availability is constrained; or
different options have different operational or commercial consequences.
Straightforward jobs will continue to be scheduled directly by members of our central bookings and client service team.
Your role is to provide the additional planning, judgement and coordination required where the best solution is less obvious.
Key responsibilities
You will:
assess complex jobs and determine the most appropriate allocation of field employees, vehicles and resources;
consider employee location, competencies, availability, existing commitments,
travel requirements and client preferences;
identify opportunities to consolidate work, reduce unnecessary travel and accommodation, and improve productive field utilisation;
identify capacity, geographic and scheduling conflicts before arrangements are confirmed wherever possible;
assess competing priorities having regard to urgency, client impact, operational feasibility and commercial considerations;
respond to cancellations, employee unavailability, urgent client requests and other scheduling disruptions;
contact clients to negotiate reasonable changes to dates, times or delivery arrangements;
ensure agreed changes are clearly communicated to field employees and central team members;
develop practical scheduling rules, tools and reporting that support better decisions; and
provide the Team Lead and management with visibility of emerging capacity gaps, scheduling patterns and improvement opportunities.
About you
You are likely to have experience planning or coordinating a geographically dispersed workforce in an environment such as field services, mobile healthcare, utilities, telecommunications, maintenance, facilities management, technical services or community services.
You will bring:
strong geographic, logistical and operational judgement;
experience coordinating mobile employees, clinicians, technicians or other field-based personnel;
the ability to compare several scheduling options and identify the best overall outcome;
an understanding of travel logistics and the consequences of allocation decisions;
confidence making sound decisions independently and knowing when to seek input;
strong client communication and negotiation skills;
an analytical and proactive approach to reviewing schedules and identifying opportunities;
the ability to manage competing priorities calmly and systematically;
strong digital literacy across scheduling, booking, CRM, mapping or spreadsheet systems; and
an approachable and collaborative style,
including the ability to challenge inefficient decisions constructively.
Direct experience in workplace health screening is not required.
You will be someone who can look across several diaries, locations, employee capabilities and client requirements and recognise when there is a better way to organise the work.
You will develop practical solutions, communicate with the people affected and follow changes through to completion.
Mobile Screening will soon be reviewing alternative scheduling and workforce planning software.
Your practical experience and input into the selection and implementation of improved systems will be valued.
Employment arrangement
This position is available at 0.6 to 0.8 FTE, with the final arrangement based on the successful candidate's experience, availability and preferred working pattern.
Ideally, hours will be distributed across five working days to provide consistent support for booking decisions and schedule changes.
A four-day pattern may be considered, but availability across at least four days each week is required.
The role is hybrid and requires attendance at our Main Ridge office on the Mornington Peninsula on three of the employee's working days each week.
These may be shorter working days depending on the agreed FTE.
Remaining hours may be worked remotely, subject to operational requirements.
Full-time equivalent salary: $80,000–$85,000 per year plus superannuation, depending on experience.
Salary will be pro-rated based on the agreed employment fraction.
