About the Role
Executive Support Officer
Full time, permanent role
Canning Vale / Head office location; hybrid work options are available
Vinnies WA are seeking an exceptional Executive Support Officer (ESO) to be a key support to our CEO and the Directorate Leadership Team.
This is far more than a traditional Executive Assistant role.
You will be at the centre of organisational decision-making, providing executive, governance, project and operational support that enables leadership to focus on delivering meaningful outcomes for the community.
Reporting directly to the CEO, the Executive Support Officer is the central coordination point for the Office of the CEO.
You will provide high-level executive and governance support, coordinate key meetings and committees, manage critical communications, support strategic projects, and help ensure organisational priorities are delivered effectively.
Key responsibilities:
Provide high-level executive and administrative support to the CEO and Directorate Leadership Team.
Manage the CEO's calendar, correspondence, travel arrangements and competing priorities.
Coordinate executive, leadership and governance meetings, including agendas, papers, minutes and action tracking.
Support State Council, committee and governance activities, ensuring meetings are well organised and compliant.
Prepare high-quality reports, briefings, presentations and correspondence for executive decision-making.
Coordinate strategic projects, organisational reporting and follow-up of key actions and deliverables.
Maintain document control systems, policy registers and organisational records in line with governance requirements.




Build strong relationships with internal and external stakeholders, acting as a trusted point of contact for the Office of the CEO.
Your Experience and Attributes
This role requires sound judgement, exceptional attention to detail, discretion, professionalism, and the ability to confidently engage with stakeholders at all levels.
The Executive Support Officer we are looking for is someone that will bring:
✔ Significant experience in executive support, executive assistance or senior administration roles
✔ Outstanding written communication, editing and research skills
✔ Exceptional organisational skills with the ability to manage multiple priorities
✔ Strong judgement, initiative and problem-solving capability
✔ Advanced Microsoft Office skills and strong digital capability
✔ Excellent interpersonal skills and the ability to build relationships at all levels
✔ A proactive, adaptable and highly professional approach
✔ Availability to attend occasional after-hours governance meetings
Desirable qualities include:
Experience within the not-for-profit or community services sector
Qualifications in Business Administration, Project Management, Communications or a related discipline
