We are seeking a highly organised, proactive, and professional
Executive Assistant
to provide exceptional support to our CEO and contribute to the effectiveness of our Leadership Team.
This is a critical role for an experienced Executive Assistant who thrives in a fast-paced environment, exercises sound judgement, and enjoys building robust relationships with stakeholders across all levels of the organisation.
About this Role
As the Executive Assistant to the CEO, you will be responsible for the seamless management of executive operations, ensuring the CEO is supported, informed, and prepared to lead effectively.
You will serve as a trusted partner, managing competing priorities, coordinating key activities, and supporting leadership team governance and reporting.
Key Responsibilities
Executive Support
Manage all CEO contacts, correspondence, and emails, prioritising actions and escalating matters where required.
Coordinate and manage the CEO's calendar, ensuring commitments are realistic, well-planned, and aligned to organisational priorities.
Provide backup support for Chairman diary and calendar management.
Deliver personal assistance services as required.
Ensure the CEO is fully prepared for meetings, events, presentations, and other commitments through thorough planning, research, briefing papers, and documentation.
Coordinate domestic and interstate travel arrangements including flights, accommodation, itineraries, and expense management.
Draft, proofread, and prepare correspondence, reports, presentations, and business documentation.
Liaise directly with Board Members, external organisations, industry partners, and senior leaders.
Systems and Reporting
Maintain accurate client, referral, and service information within the CRM system
Support reporting requirements, data management,
and information quality initiatives.
Assist in the preparation of executive reports and performance information as directed.
Leadership Team Coordination
Coordinate Leadership Team meetings, workshops, events, and offsite planning sessions.
Prepare meeting agendas, distribute papers, record minutes, and track action items.
Schedule and coordinate regular meetings between the CEO and Leadership Team members.
Support governance processes and ensure timely completion of leadership actions and deliverables.
To be Successful in the role you will have:
Significant experience in a senior Executive Assistant.
Exceptional organisational and time management skills, with the ability to manage competing priorities.
Advanced Microsoft Office skills, including Outlook, Word, PowerPoint, and Excel.
Experience managing complex calendars, travel arrangements, and executive schedules.
Solid written communication skills with demonstrated experience drafting professional correspondence and reports.
High attention to detail and the ability to maintain strict confidentiality.
Experience coordinating meetings, preparing agendas, and taking minutes.
Confidence working with senior executives, Board members, and external stakeholders.
Experience using CRM systems and reporting tools will be highly regarded.
