As we continue to expand, we are looking for a dedicated Medical Administrative Assistant to join our close-knit team and grow alongside the practice.
About the Role
We are seeking a compassionate, friendly, and reliable
part-time 32 hours/week Medical Administrative Assistant
to support the day-to-day operations of our specialist clinic.
This role is ideal for someone with excellent communication skills, a calm and qualified manner, strong attention to detail, and the ability to manage multiple administrative tasks efficiently in a busy healthcare environment.
You will play an important role in ensuring smooth clinic operations while providing a high standard of service and support to patients, doctors, and the wider healthcare team.
Working Hours
Monday to Thursday
32 hours per week
Between 8:00am – 6:00pm
What You'll Be Doing
Managing front desk and administrative operations to support daily clinic activities
Preparing medical correspondence, reports, and documentation
Supporting doctors and clinical staff with administrative tasks
Assisting with clinic workflow improvements and service expansion initiatives
Maintaining accurate patient information and ensuring compliance with healthcare standards




Supporting the training and onboarding of reception staff as required
Assisting with maintaining quality standards and efficient administrative processes within the practice
Scheduling and coordinating patient appointments
Managing patient records while maintaining confidentiality and privacy requirements
Processing Medicare billing, private health insurance claims, and patient payments
Liaising with patients, specialists, hospitals, and external healthcare providers
What We're Looking For
Minimum 2 years' experience as medical administrative assistant or a similar healthcare administration role
Experience working in private specialist rooms is highly desirable but not essential
A willingness to learn, develop new skills, and grow with the clinic
Proven experience with Medicare billing and private health insurance claims
Strong organisational and time management skills with excellent attention to detail
Excellent communication and interpersonal skills
A patient-focused approach with genuine care, empathy, and professionalism
Ability to work independently while contributing positively to a small team environment
Commitment to maintaining patient confidentiality and privacy at all times
Remuneration
$28–$33 per hour, depending on experience and skills.
The successful candidate will be remunerated based on their level of medical administration experience, knowledge of Medicare billing, proficiency with practice management software (such as Gentu), and ability to contribute independently within a specialist clinic environment.
