About the opportunity

This is a fabulous Executive Assistant opportunity supporting our Chief Strategy & Capital Officer, whose work spans strategy, capital and the partnerships that support CEFC’s investment in Australia’s energy transition. Working with an ambitious, well-regarded and high-profile executive, you can expect varied, meaningful work in a collaborative and supportive culture.

Day to day, you will manage the CSCO’s diary and inbox, shape her meeting rhythm and ensure she is prepared for every engagement. You will also support the wider Strategy and Capital team across governance and reporting cycles, Board and committee materials, adviser and procurement administration, domestic travel, expenses and team events.

Another important dimension in this role is providing on-the-ground support to our incoming Brisbane based CEO when he is in Sydney, covering meetings, materials, rooms, visitors and follow-up. You will work closely with our Brisbane-based Office of the CEO Manager, who manages the CEO’s diary and inbox, and provide cover during her leave and peak periods.

This partnership depends on early communication, generous information sharing and a willingness to step in without being asked. These key relationships are all with pragmatic, open people who value excellence in the work as well as forming genuine, friendly and open connections with their colleagues.

The role is based Monday to Friday (5 days per week) in our Sydney Office The role you’ll play

Supporting our Chief Strategy & Capital Officer, her team and the CEO Office in Sydney, you will:

- Manage a complex executive diary, balancing competing priorities, preparation time and a realistic meeting cadence
- Triage incoming requests, emails and correspondence, actioning what you can and escalating what matters
- Prepare briefings, correspondence,



presentations and meeting materials to a high professional standard
- Coordinate meeting logistics end to end, including agendas, pre-reads, attendees, rooms, video conferencing and action tracking
- Arrange travel and accommodation, and manage expenses, purchase orders and invoices in line with CEFC policy
- Act as a professional point of contact for stakeholders engaging with the executive, including CEFC Board members. Some Board travel or making other arrangements for them is included in the scope of this role.
- Support governance and reporting rhythms, including Executive Team updates, committee papers and Board materials
- Maintain trackers and forward plans so papers and submissions land on time and in good shape
- Provide on-the-ground support to the CEO in the Sydney office, covering meetings, materials, visitors and follow up
- Work in lockstep with our Brisbane-based Office of the CEO Manager, and provide cover during her absence and peak periods
- Coordinate team events, offsites, conferences, shared workspaces and Board/adviser onboarding
- Provide back up support your Executive Assistant and administration colleagues (and expect it in return) contributing to a cooperative, warm, low ego service-focused team culture
- Utilise AI to enhance and automate workflow, while adhering to CEFC and legislative policy guidance and always retaining quality of work, attention to detail and accuracy

About you To be successful, you’ll likely bring:

- Experience supporting senior executives at CEO, Executive Team or equivalent level
- Confidence managing complex diaries, travel, stakeholder arrangements and competing priorities without losing the detail
- High emotional intelligence, with the judgement to read people, situations and the right moment to act
- Humility and a real team instinct, comfortable sharing work, covering colleagues and letting others take the credit




- Meticulous attention to detail and pride in producing polished documents, presentations and papers
- Sound judgement, trustworthiness and discretion with confidential and commercially sensitive information
- Experience supporting governance routines, reporting cycles, Board or committee materials and executive briefings
- Excellent written and verbal communication, with the ability to listen, influence and build credibility quickly
- Calm under pressure, adaptable and constructive when priorities shift
- Advanced Microsoft Office skills, and an interest in using Copilot or similar AI tools well
- Curiosity about our investment mandate and the climate finance sector, and a willingness to keep learning
