Lone Pine Koala Sanctuary opened in 1927 as a safe refuge for sick, injured, and orphaned koalas. Today, Lone Pine remains a much loved and iconic destination for local and international guests to not only see native Australian animals, but to also connect and learn. Our goal is that everyone leaves the sanctuary feeling inspired to make small, positive changes in their daily lives to help protect their own native wildlife and habitats.

Job Description Outline:
Reporting to the Sales & Marketing Manager, the Reservations and Admin Officer will provide full administrative support to the Sales and Marketing department. This multifaceted role will involve managing reservations, providing administrative support, and coordinating group bookings to ensure exceptional visitor experiences.

The role requires availability to work weekends as part of a 7-day roster, including some evening events when required.
Key Responsibilities:
Reservation Management:
Handle inquiries and group reservations via phone, email, and online platforms, providing prompt and accurate information to customers.
Process bookings, payments, and cancellations efficiently, maintaining meticulous records and documentation.
Coordinate with other departments to confirm availability, schedule tours, and arrange special requests.
Assist with general administrative tasks, including, but not limited to printing, laminating, postage, and maintaining sanctuary office supplies.
Ensure compliance with policies and procedures related to reservations, payments, and customer information management.
Coordinate with the finance team to reconcile payments, track revenue, and resolve invoice discrepancies.
Liaise with tour operators, travel agencies, schools, and other groups to facilitate group bookings and special events.
Ensure group bookings are scheduled following operational requirements, liaising with other departments as and when necessary.
Ensure that group bookings are invoiced promptly, and payment is made prior to date of arrival.
Coordinate logistics, including experiences, and catering to accommodate large groups.
Meet and greet group bookings on arrival, assisting with pre-booked encounters and facilitating a seamless experience.
Serve as the first point of contact for customer inquiries, feedback, and complaints, demonstrating professionalism, empathy, and a commitment to customer satisfaction.
Address customer concerns promptly and escalated issues as needed to ensure timely resolution and a positive outcome.
Review and respond to customer reviews within 24-48 hours
Experience and Skills:
Ideally proficient in using reservation management systems, booking software, and Microsoft Office Suite for data entry, reporting, and communication purposes.
Proven motivated and energetic approach to work.
A professional focus and high-level of attention to detail.
Qualified, patient communication technique with a proven ability to foster cooperative working relationships amongst stakeholders, i.e., guests, management, and a diverse team.
Commitment to providing customer service excellence. (WOW factor)
Excellent verbal and written communication skills.
Ability to work autonomously with common sense and a practical approach to problem solving.
Valid Blue Card.
