About the role
Newton Fisher Group is looking for an experienced and personable Office Administration Assistant to join our growing team at our Burwood office. This full-time role is perfect for someone who enjoys working in a fast-paced professional environment, takes pride in being highly organised, and enjoys supporting a collaborative team. As the first point of contact for clients and visitors, you'll play an important role in ensuring our office runs smoothly while delivering an exceptional experience for everyone who interacts with our business.
What you'll be doing
- This role is suited to someone who enjoys variety, takes initiative, and is committed to delivering exceptional service to both clients and colleagues.
- Greeting visitors, clients and staff with a warm and professional manner.
- Answering, screening and transferring incoming telephone calls to the correct departments or personnel
- Maintaining accurate and up-to-date office records, filing systems and databases
- Scheduling appointments and managing calendars for senior staff members
- Performing general clerical duties, including data entry, word processing and document preparation
- Processing invoices, purchase orders and other administrative documentation
- Assisting with marketing
- Ordering and restocking office supplies and maintaining inventory levels
- Supporting the coordination of meetings, events and office activities
- Providing administrative support to various departments as required
- Maintaining confidentiality and adhering to company policies and procedures
What we're looking for
- Excellent organisational skills with the ability to manage multiple tasks and prioritise effectively
- Strong written and verbal communication skills
- Proficiency with Microsoft Office applications (Word, Excel, Outlook), CRM's and general computer literacy
- A professional and friendly demeanour with strong customer service orientation
- Attention to detail and accuracy in all administrative work
- Ability to work independently and as part of a team in a fast-paced environment
- Reliable, punctual and committed to maintaining high professional standards
- Applicants must have previous experience in a reception, office administration or administrative support role. Due to the nature of this position, we are seeking someone who can confidently step into the role with minimal supervision.
Desirable
- Experience using Xero and/or MYOB
- Experience in the construction, property or professional services industry
- Confidence coordinating multiple priorities
- Strong problem-solving skills
