We are seeking a highly organized, proactive and professional Office Manager (Field, Fleet & Administration) to support both our operational and administrative functions. This diverse role combines fleet coordination, customer service, financial administration and general office management to ensure the smooth day-to-day running of the business.

Position Purpose The Office Manager is responsible for coordinating administrative, financial and operational support functions across the business. The role acts as a central communication hub between management, field personnel, customers and suppliers, ensuring efficient workflow, accurate financial processing, effective fleet administration and exceptional customer service.
Key Responsibilities
Financial Administration
Accounts Payable & Receivable
- Process supplier invoices, customer invoices, payments and receipts accurately and on time.
- Maintain purchase order records and account documentation.
- Monitor payment schedules and supplier accounts.
Billing & Debtor Management
- Prepare and issue customer invoices promptly.
- Follow up overdue accounts and outstanding payments.
- Monitor debtor ageing reports and assist with cash flow management.
Payroll Administration
- Coordinate weekly payroll information including timesheets, allowances, leave records and payroll reporting.
- Ensure payroll documentation is accurate and submitted within required deadlines.
- Support superannuation and employee record administration.
Reconciliations
- Reconcile bank accounts, credit cards, supplier statements and customer accounts.
- Investigate and resolve discrepancies promptly.
Compliance Support
- Assist with BAS, GST, PAYG, superannuation, insurance, workers compensation and regulatory record keeping requirements.
- Maintain accurate and audit-ready records.
Financial Reporting
- Prepare management reports including:
- Cash flow summaries
- Debtor reports
- Expense tracking
- Cost analysis
- Financial performance summaries
Cost & Expense Control
- Track operating expenses, fuel cards, maintenance costs, employee reimbursements and company credit card expenditure.
- Assist management with cost monitoring and budget control initiatives.
Fleet & Operations Support
Fleet Administration
- Maintain fleet records, registrations, service schedules and compliance documentation.
- Coordinate vehicle and crane maintenance activities.
- Track maintenance requirements and minimize equipment downtime.
Job Scheduling & Coordination
- Assist with scheduling cranes, operators and support resources.
- Monitor job bookings and support changes to operational requirements.
- Ensure accurate job information is communicated to field personnel.
Operational Communication
- Liaise with the Operations Manager, field teams, customers and suppliers regarding job requirements, scheduling and service delivery.
- Facilitate communication between office and field operations to ensure efficient execution of work.
Maintenance Coordination
- Schedule preventative maintenance and repairs.
- Maintain equipment service records and compliance documentation.
- Coordinate with suppliers and service providers to ensure fleet readiness.
Office Management & Administration
Office Coordination
- Manage daily office operations and administrative processes.
- Maintain calendars, office supplies, facilities and business support functions.
- Ensure efficient workflow throughout the office.
Customer Service
- Act as the qualified first point of contact for:
- Telephone enquiries
- Emails
- Customer visits
- General enquiries
- Build and maintain positive customer relationships.
Administrative Support
- Assist with quotations, job documentation, supplier management and customer administration.
- Maintain accurate business records and filing systems.
- Assist and support the Office support Coordinator
Communication Hub
- Provide administrative and operational support to the Managing Director, General Manager and Operations Manager.
- Facilitate clear communication across all departments and stakeholders.
Process Improvement
- Identify opportunities to improve:
- Administrative procedures
- Reporting systems
- Business processes
- Templates and documentation
- Office efficiency and productivity
