Operations Associate / Operations Coordinator (Entry / Junior Level)Role Description
We are seeking a proactive, highly organized, and detail-oriented Operations Associate / Operations Coordinator (Entry / Junior Level) to support the daily operational execution and workflow efficiency across our business departments. In this foundational role, you will play a critical part in maintaining smooth operational processes, coordinating cross-functional logistics, tracking project deliverables, and resolving daily administrative and operational bottlenecks. You will work closely with Operations Managers, Department Heads, Vendors, and internal teams (such as Logistics, Customer Support, Procurement, and Finance) to monitor key performance metrics, maintain central documentation, coordinate facilities or vendor logistics, and optimize standard operating procedures (SOPs).
Responsibilities include logging operational data, scheduling cross-departmental activities, assisting with vendor onboardings, auditing workflow compliance, and troubleshooting operational exceptions. Success in this position requires strong organizational agility, sharp problem-solving skills, clear communication, proficiency with productivity and project management tools, and a relentless focus on process efficiency and operational excellence.
Qualifications
Education: Bachelor's degree or Diploma in Business Administration, Operations Management, Supply Chain, Management, or a related field.
Operational Process Coordination: Practical understanding of business operations, workflow tracking, standard operating procedures (SOPs),
and cross-functional task coordination.
Task & Project Management Tools: Familiarity with modern task management, workflow automation, and collaboration software (e.g., Asana, Trello, Monday.com, ClickUp, Notion, or Jira).
Spreadsheet & Data Management: Intermediate proficiency in Microsoft Excel / Google Sheets (VLOOKUP/XLOOKUP, Pivot Tables, data validation, and basic formulas) for logging metrics and tracking operational tasks.
Vendor & Logistics Coordination: Capability to communicate effectively with external vendors, service providers, and logistics partners to schedule deliveries, track service requests, and reconcile discrepancies.
Problem Solving & Process Optimization: Strong diagnostic and analytical skills to spot operational bottlenecks, streamline repetitive tasks, and suggest practical workflow improvements.
Documentation & SOP Maintenance: High attention to detail in creating, updating, and maintaining centralized operational documentation, user manuals, and company knowledge bases.
Cross-Functional Collaboration: Ability to work effectively with diverse teams (Finance, HR, IT, Procurement, Marketing) to ensure smooth communication and alignment on company objectives.
Communication & Interpersonal Skills: Professional written and verbal communication skills to articulate operational updates, deliver status reports, and resolve issues constructively.
