As the Executive Administration Assistant, you’ll play a critical role in ensuring the Leukaemia Foundation’s Executive Leadership Team (ELT) operates efficiently and effectively. Based in our Melbourne office, you’ll provide accurate, timely and proactive administrative support that enables smooth executive operations and strengthens our organisational governance.
Working closely with the ELT and Company Secretary, you’ll manage diaries, travel and meeting logistics, prepare executive correspondence and reports, and coordinate meeting logistics and governance projects.
This role is essential to maintaining high-quality executive support, strengthening governance processes, and fostering effective communication and coordination across the Leukaemia Foundation.
A few extra things to know
- This is a 6-month fixed-term position based in our Melbourne office
- You may occasionally need to work outside normal business hours
- Some domestic travel may be required
- You’ll need to hold, or be willing to obtain, a valid Working with Children Check (WWCC) prior to commencement
What you’ll be doing
- Manage diaries, scheduling, travel arrangements and meeting logistics for the Executive Leadership Team
- Prepare and format executive correspondence, reports and presentations
- Act as first point of contact for internal and external stakeholders
- Coordinate executive expenses, credit card transactions and invoice processing
- Support the Company Secretary with governance activities and Board meeting logistics
- Coordinate leadership team workshops, events and meetings
- Maintain accurate records and drive continuous improvement of administrative systems, processes and policy documentation
What we are looking for:
- Exceptional interpersonal skills and a strong customer-service mindset
- Excellent organisational skills, with outstanding attention to detail and time management
- Confident written and verbal communicator, comfortable engaging senior leaders and stakeholders
- Proven ability to manage competing priorities and demands
- Robust administration and document control skills, with a high level of confidentiality
- Advanced digital literacy across Microsoft Office, Teams and SharePoint
- 5–7 years’ experience supporting senior leadership teams and an ability to travel domestically
Bonus
- Experience using Asana or similar project management tools
- General understanding of WHS requirements and compliance obligations
- Prior experience supporting governance or Board-level activities
