Principal Function The Part-Time Finance Assistant (Payroll & Bookkeeping) is responsible for supporting the day-to-day finance operations of Earth Systems and its related entities. Working closely with the Finance Manager, you will assist with payroll processing, bookkeeping, accounts payable and accounts receivable activities while ensuring financial records are accurate and up to date.
This role is ideal for someone looking to develop a career in finance, bookkeeping or accounting. Full training will be provided across many aspects of the role.
You will report directly to the Finance Manager and work with the Business Operations Manager and broader Earth Systems team.
Principal Duties
Payroll
- Assist with the preparation and processing of payroll.
- Maintain employee payroll records, including new starters, employment changes and terminations.
- Process leave requests and maintain employee leave balances.
- Respond to employee payroll enquiries.
- Assist with payroll reconciliations and statutory reporting.
Bookkeeping
- Perform bank, credit card and other balance sheet reconciliations.
- Maintain accurate accounting records within Xero.
- Assist with month-end finance tasks and reconciliations.
- Prepare journals and supporting documentation as required.
- Maintain organised electronic finance records.
Accounts Payable
- Process supplier invoices accurately and in a timely manner.
- Prepare supplier payment runs.
- Reconcile supplier statements and resolve discrepancies.
- Respond to supplier enquiries.
- Assist with purchase order administration.
Accounts Receivable
- Prepare and issue customer invoices.
- Allocate customer payments.
- Assist with following up outstanding accounts.
- Liaise with project managers regarding invoicing and debt collection.
General Administration
- Provide administrative support to the Finance Manager and Business Operations Manager.
- Assist with finance-related projects and process improvements.
- Perform other duties as reasonably required.
Other Duties
- Provide support and initiatives to improve processes and systems used within the business in Australia and potentially on a global scale.
- Maintain a high level of accuracy and attention to detail in all work.
- Develop an understanding of payroll legislation and accounting principles.
- Participate in training and professional development opportunities.
Role Relationship
You will report directly to the Finance Manager.
You will also work with:
- Business Operations Manager
- Project Managers
- Employees across Australia and international offices
- External accountants and other finance service providers where required

Part Time Position The position is part time (2, 3 or 4 days per week). Salary package ranging upwards from 70k (pro rata) depending on skills and experience.
