IP Partnership Lawyers is a reputable commercial law firm specialising in Franchise Law, Intellectual Property Law, Commercial Law and IP Litigation. The firm acts for clients located all across Australia and New Zealand and is proud of its Australia wide reputation as being a leading Franchise law firm. We are looking for someone very special to join our team on the Gold Coast, Queensland.
The title of the role is ‘Office Manager’ however the ideal candidate will not only manage daily operations of the firm, and supervise staff, but will also work closely, in a support capacity, with senior solicitors. particularly the principal partner of the firm, Sam Rees.
This is a senior role suited to someone who thrives in a busy work setting, has exceptional people management skills, and can confidently manage the operational and financial management side of a modern boutique law firm.
About the Role
You will work closely with the Principal Lawyer, Sam Rees and the senior legal team to ensure the smooth and efficient running of the practice. Your day to day tasks would include the following:
Overseeing the day-to-day operations of the firm and ensuring the office runs efficiently, smoothly and productively.
Leading, supporting and managing the administration team, including recruitment, onboarding, performance and office culture.
Overseeing accounts administration, invoicing, payroll, reporting and assisting with trust accounting oversight.
Managing workflow, operational systems and legal administration processes to ensure matters progress efficiently.
Assisting lawyers with legal administration,
file management and client service where required.
Monitoring operational and financial performance, including WIP, billing, debtors and utilisation, and providing reporting to the Principal and Partners.
Implementing and improving systems, processes and technology to enhance efficiency and support the firm's growth.
Maintaining compliance, file management standards and operational governance across the practice.
Liaising with clients, suppliers and external service providers.
Supporting the strategic growth and ongoing development of the firm.
About You
The ideal candidate will have:
2 years experience as a Practice Manager or Office Manager within a law firm (if you have no legal experience, but have business management experience, we would still invite you to apply).
Experience managing accounts, payroll and office finances.
Strong understanding of legal practice operations.
Exceptional organisational and leadership skills.
High attention to detail and ability to multitask in a fast-paced environment.
Strong communication and problem-solving abilities.
Experience in a paralegal or legal administration capacity will be highly regarded.
Ability to work autonomously,
proactively and confidentially.
