Executive Support Officer – Own the Pulse of Our Organisation
Are you someone who doesn’t just support operations—but takes full ownership of making them exceptional? Do you naturally step into the role of trusted partner to senior leaders, anticipating needs, driving outcomes, and making things happen?
We’re looking for a proactive and polished Executive Support Officer who will take charge of this pivotal role. You’ll work side by side with our Managing Director and collaborate closely with our HR Director, becoming the central force behind the smooth, effective running of our organisation.
This is more than a support role—it’s an prospect to step in, take the reins, and make a lasting impact. You’ll be empowered to shape how things are done, bring your own approach to organisation and communication, and create systems that elevate both people and performance.
Key Duties and Responsibilities
As our Executive Support Officer, you won’t just follow processes—you’ll own them. You’ll bring structure, clarity, and momentum to the business, driving improvements and ensuring everything runs with precision and purpose.

Executive Support
Manage the Managing Director’s complex calendar
Coordinate Senior Management Meetings and Regional Leadership Meetings
Draft polished correspondence, announcements, and presentations
Prepare agendas, minutes, and follow‑up actions
Handle sensitive information confidentially
Business Support & Office Operations
Oversee all administrative and reception functions
Coordinate events, meetings, conferences, and training
Manage expenses, purchase orders, and invoicing
Build strong internal relationships and support a positive team culture
Maintain workplace standards, meeting rooms, and 5S requirements
Act as back‑up for payroll and other admin duties
Be the face of the business—welcome visitors, manage calls, and handle daily mail
Travel Management
Arrange domestic and international travel for the business
Create detailed itineraries and support last‑minute changes
Liaise with travel suppliers to ensure value, quality, and efficiency
Key Experience & Skills
Qualifications in business administration
Minimum 5 years’ experience in executive or business support
Experience with travel bookings, expenses, and document formatting
Personal Qualities
Highly organised and proactive
Ability to juggle multiple tasks calmly and professionally
Strong interpersonal skills and relationship‑building capability
Reliable, discreet, and self‑motivated
Energetic, team‑oriented, and adaptable
Logical thinker with strong attention to detail and follow‑through
