We are looking for an Order Fulfillment Coordinator to join our Supply Chain team, based at our head office in Clayton. This role plays a critical part in managing the end-to-end customer order process, ensuring orders are processed accurately, delivered on time and aligned with our commitment to service excellence.
The Order Fulfillment Coordinator is responsible for providing prompt and efficient service from order receipt through to invoicing and delivery. This role will require 5-days per week on-site.
Key outcomes of the role include:
Manage high volumes of customer orders via phone, email and EDI, ensuring accurate and timely processing.
Process orders and backorders in NetSuite/SAP for wholesalers, suppliers and direct customers.
Provide order confirmations within 5 business days and issue invoices promptly, proactively communicating any supply issues.
Monitor and report on daily backorders and open orders, working with customers and the Supply Chain Manager to resolve overdue stock.
Maintain accurate customer master data, update inventory returns and ensure system data integrity.
Manage the SPS EDI portal and collaborate with Sales,
IT and Finance to resolve automated order and invoicing issues.
Handle credit memos, customer complaints and conflict resolution, ensuring timely and professional outcomes.
Liaise with Dispatch and Sales on order priorities and contribute to continuous improvement of DIFOT and service performance.
To be successful, you will have:
2+ years' proven track record working in an order processing environment with an understanding of logistics / inventory control / warehouse environment
Familiarity with CRM and KAM systems and practices
Requirement for Mandarin Chinese skills (spoken and written).
Strong analytical and problem-solving skills with high attention to detail.
Excellent communication and interpersonal skills to engage effectively with internal and external stakeholders.
Ability to manage competing priorities in a fast-paced environment with a continuous improvement mindset.
