About the Role
We are seeking a highly organised, proactive, and detail-oriented Service Coordinator to join our Head Office team based in Rhodes. This pivotal role is responsible for planning, scheduling, coordinating, and monitoring operational works and service delivery activities from initiation through to successful completion.
The successful candidate will play a critical role in ensuring operational activities are effectively planned, resources are allocated efficiently, deadlines are met, and communication remains seamless between clients, employees, and operational teams.
This position requires someone who thrives in a fast-paced environment, takes ownership of responsibilities, and consistently delivers high levels of operational accuracy, compliance, and customer service.
Key Responsibilities
- Monitor and manage the scheduling calendar for all periodical and ad-hoc works assigned to the Periodical Team to ensure optimal labour utilisation and service delivery.
- Track job completion status and follow up on outstanding works to ensure timely closure of all requests.
- Review and verify job costing information, labour hours, and supporting documentation prior to final invoicing or recharge.
- Coordinate equipment allocation and ensure the Periodical Field Team has access to the required tools, machinery, and chemicals for each job.
- Assist in resolving scheduling conflicts, workforce availability issues, operational challenges, and client concerns in a timely and professional manner.
- Assist with the preparation of operational reports, including job status updates, labour utilisation, and cost tracking.
- Escalate operational issues, staffing shortages,
or service risks to management in a timely manner.
- Support continuous improvement initiatives by identifying opportunities to improve scheduling efficiency, communication processes, and service delivery outcomes.
- Maintain strong working relationships with site teams, field staff and internal stakeholders.
- Ensure all periodical works are carried out in accordance with company safety policies, client requirements, and quality standards.
- Assist in coordinating emergency or urgent cleaning requests outside standard operational schedules where required.
- Maintain accurate records within the company systems, including Store Orders, job completion records, and compliance documentation.
About you To be successful in this role, you will have:
- Previous experience in a coordination, scheduling, administration, or operations support role, preferably within cleaning, facilities management, maintenance, or service-based industries.
- Strong organisational and time management skills, with the ability to manage multiple tasks and competing priorities in a fast-paced environment.
- Experience coordinating field-based teams, scheduling work, and monitoring job progress.
- High attention to detail with the ability to review job records, labour hours,
and costing information accurately.
- Strong communication and stakeholder management skills, with the ability to build effective working relationships across operational teams and internal departments.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and experience using scheduling, workforce management, or operational systems.
- Ability to identify operational issues, escalate risks appropriately, and contribute to continuous improvement initiatives.
- Strong problem-solving skills and the ability to respond effectively to urgent or changing operational requirements.
- A commitment to workplace health and safety, quality standards, and customer service excellence.
- Ability to work independently while maintaining a collaborative team approach.
Desirable:
- Experience in the commercial cleaning, facilities management, or property services industry.
- Knowledge of job costing, labour utilisation tracking, and invoicing processes.
- Experience coordinating emergency or ad-hoc service requests.
- Previous exposure to ERP systems.
