About Tallboy & Moose

Tallboy & Moose is an independent brewery and hospitality business in Preston. Our business includes the brewery, taproom and venue, kitchen, functions and events, wholesale and online sales. We are a small, practical team, which means people work closely together and good ideas can quickly become real improvements.

The role

We are looking for a highly organised, resourceful all-rounder to work closely with Dan, the owner of Tallboy & Moose, and help keep the financial, administrative and operational engine of the business running smoothly.

This is not a traditional bookkeeping role. It is a hands-on coordinator role combining reliable finance administration with executive support, project coordination and creative, practical problem-solving. You will bring order to moving parts, make sure actions do not disappear between teams, and help us find simpler and better-value ways of doing things.

Your core job is to keep the numbers, deadlines and commitments under control so Dan and the team leads can focus on running and growing the business.

What you will do

Finance and payroll administration - your first priority

• Maintain accurate day-to-day bookkeeping, including bank and credit-card reconciliations and consistent transaction coding.

• Manage accounts payable: process supplier invoices, reconcile statements, prepare payment runs and resolve queries.

• Manage accounts receivable: issue invoices, allocate payments, follow up overdue accounts and keep customer account records current.

• Prepare and process payroll, check timesheets and leave records, and maintain accurate employee information.

• Support weekly cash visibility and month-end reporting by keeping records current and providing accurate information to Dan and the external accountant.

• Maintain a calendar of recurring payments, subscriptions, insurance, licences, superannuation and other financial or compliance deadlines.

Business coordination and executive support

• Provide practical executive-assistant support to Dan, including diary coordination, meeting preparation, action lists, correspondence and follow-up.

• Run a simple weekly action tracker across the brewery, venue, kitchen, functions and wholesale so owners, deadlines and decisions are visible.

• Keep contracts, supplier details, key documents and business records organised and easy to find.

• Follow up agreed actions,



spot gaps between teams and raise issues before they become urgent.

Project coordination

• Coordinate defined projects such as Tallboy & Moose's 10th birthday, maintenance works, equipment purchases, venue upgrades or systems improvements.

• Turn an idea into a practical plan with a scope, budget, owners, dependencies and deadlines.

• Obtain and compare quotes, coordinate suppliers and contractors, track progress and costs, and keep the right people informed.

• Close projects properly by confirming invoices, warranties, documentation and any outstanding actions.

Cost control, systems and sales support

• Review recurring expenses, supplier arrangements and contracts to identify waste, duplication and opportunities for better value.

• Research options, seek competitive quotes and negotiate with suppliers within agreed limits; bring clear recommendations to Dan when a decision is needed.

• Provide light-touch administration support to wholesale and sales, such as customer setup, price lists, records, follow-up actions and CRM data quality.

• Improve simple processes, templates and reporting so the team spends less time on repetitive administration and has better information for decisions.

What we are looking for

• Solid hands-on experience with bookkeeping, accounts payable, accounts receivable and payroll. This is the non-negotiable foundation of the role.

• Practical familiarity with Xero, Lightspeed, Deputy, Shopify and the Microsoft 365 suite. You should be comfortable moving between these platforms and using them for bookkeeping, payroll and rostering, point-of-sale reporting, online orders and everyday business administration.

• Exceptionally organised: you can manage detail, keep several workstreams moving and know what needs attention first.

• A creative problem-solver: you can take an unclear or messy issue, develop practical options and move it forward without needing a perfect brief.

• Commercial and resourceful: you notice unnecessary costs, compare options, ask sensible questions and enjoy finding a better deal.

• A strong finisher who follows through, chases people respectfully and does not let agreed actions quietly disappear.

• Good judgement, discretion and confidence working with sensitive financial and employee information.

• Clear, direct and friendly communication with a practical, low-ego approach.





• Comfortable working in person in a busy brewery and hospitality environment where priorities sometimes change quickly.

What success looks like

• Payroll, supplier payments, invoicing and reconciliations are accurate and completed on time.

• Dan has a reliable weekly view of cash commitments, overdue accounts, key deadlines and project decisions.

• Recurring costs, supplier agreements and renewals are visible, reviewed and actively managed.

• Projects have clear plans, owners, budgets and deadlines, and problems are raised early.

• The 10th birthday and other priority projects are joined up across teams rather than relying on Dan to hold every detail.

• The business has simpler processes, cleaner records and fewer things falling through the cracks.

How the role will work

The role is designed for approximately 23-24 hours per week, ideally spread over four shorter days and worked primarily in person at the brewery. Finance and payroll administration will always come first. The remaining time will be agreed with Dan each week, with a limited number of priority projects active at once.

The Operations & Finance Coordinator will connect and support the team, but will not replace the operational responsibility of the brewery, venue, kitchen, functions or wholesale leads. You will work with them to make progress visible, resolve dependencies and keep agreed actions moving.

Your first 90 days

• Understand the current finance cycle and make sure bookkeeping, reconciliations, payables, receivables and payroll are running to a reliable timetable.

• Create a clear register of recurring expenses, supplier arrangements, subscriptions, contracts and renewal dates, then identify the first practical savings opportunities.

• Introduce a simple weekly action and project tracker, with a short check-in so Dan and the team can see owners, deadlines, dependencies and decisions.

• Build the working plan for the 10th birthday, including the budget, milestones, responsibilities and links between venue, kitchen, functions, wholesale and brewing.

• Identify the most frustrating or repetitive administrative processes and recommend a small number of realistic improvements.
