We are seeking an experienced and highly organised
Senior Administration Officer/Receptionist
or experienced
Team Leader or Assistant Practice Manager
to join our specialist medical practice with potential for career progression to a future practice management role.
The role will initially be based on our reception admin team with promotion according to ability and experience.
About the Role
This is a unique role combining front-of-house patient care with practice management responsibilities.
It is ideally suited to either:
· an experienced Senior Medical Receptionist looking to take the next step into practice management, or
· a current Assistant Practice Manager or Practice Manager who enjoys remaining actively involved in some patient-facing reception duties, looking for a change of work environment.
As a key member of our team, you will play an important role in ensuring the smooth day-to-day operation of a fast-paced multi-speciality practice while delivering exceptional service to our patients, specialists, and referrers.
This position offers flexibility for the right candidate, with
full-time or part-time hours available
, including the possibility of
school hours
.
Please note an availability to work on Fridays is essential.
Key Responsibilities:
Patient Care and Reception
· Welcoming patients and visitors with warmth, professionalism and genuine care
· Providing a calm, supportive and empathetic first point of contact for patients
· Managing appointments, scheduling and diary coordination for multiple practitioners including maintaining Medicare compliance and referral validity
· Processing patient registrations and maintaining accurate records
· Handling high volume telephone and email enquiries with sensitivity and professionalism
· Processing payments, invoicing and patient accounts and Medicare processing
· Coordinating referrals, results and correspondence with healthcare providers
· Support the practice and staff during periods of leave
Practice Management (for future practice management role)
· Supporting the day-to-day operational management of the practice
· Coordinating administrative workflows and ensuring efficient practice operations
· Maintaining practice policies, procedures and regulatory current workplace compliance with current legislation including Privacy
· Managing medical records systems and documentation processes
· Ordering supplies and liaising with external service providers
· Working closely with specialists to support continuous improvement of practice operations
· Accounts and invoicing as required including outstanding debt management
· Overseeing staff operations in a management role over time
About You
To be successful in this role, you will need to demonstrate:
Outstanding organisational and communication skills including the ability to work independently as well as part of a small team
Strong attention to detail and the ability to manage competing priorities
A professional, patient-focused approach in a busy environment
Excellent computer skills and confidence learning new systems
The ability to work independently while supporting a collaborative team environment

Forward thinking and planning abilities
The ability to keep pace with the workplace around you maintaining a strong presence on reception and ensuring smooth daily operations
Highly desirable Skills and Experience
Significant experience in medical or healthcare administration
Previous extensive experience in a specialist medical practice
Experience with Genie medical software and Medicare billing
Leadership, supervisory, or management experience or undertaken study in these areas
An interest in developing into a future management role
Experience dealing with computer and/or printer issues with a view to resolving basic IT or network issues prior to requesting remote IT support
