The Opportunity
We are looking for an experienced Receptionist/Administration Officer to join our firm in this part time role.
This role is a job share position, working one week on, with the next week off, alternating with our current administration staff - effectively 9 days off, 5 days on.
This position would suit a person who can work independently and manage their time and prioritise work effectively in a fast-paced environment.
Your role will include face-to-face interactions with clients and accountants alike so excellent communication skills are required.
Your role will include, but is not limited to the following:
General office duties – including filing, scanning documents, responding to client's emails, typing various letters as required and managing client documents in the office
Managing the office reception desk – including answering phone calls, taking messages, booking appointments, and greeting clients
Collection of mail from the company PO Box and office mailbox and management of all incoming and outgoing mail correspondence to clients (including ATO mail).
Preparation, collation and packaging of Financial Reports and Tax Returns to send to clients via post or email.
Maintaining the client database in APS/MYOB – adding new clients and updating client details
Lodging tax returns using MYOB AE and handling client ATO queries via the ATO portal and phone
Managing the corporate registry of client's companies – including updating addresses, directors and shareholders, payment reminders and other updates as required in CAS and the ASIC Portal.
Creation of client invoices – printing documentation for invoice creation and issuing and sending invoices to clients via MYOB.
Requirements
Well-developed interpersonal and communication skills
Proven record of experience in an administrative role – experience in accounting, taxation or financial services environments is highly desirable
Excellent PC and Microsoft Office skills.
Experience with MYOB, MYOB AE, APS and CAS are also highly desirable
Ability to prioritise tasks, work well under pressure, and meet deadlines all with a high level of accuracy and attention to detail
Professional personal presentation
Work unsupervised or with minimal direction in a team workplace
Common sense approach to tasks recognising the importance of both the process and the outcome required
A positive, collaborative attitude, show strong initiative, and a willingness to learn
