Due to continued growth, we are seeking an experienced and highly organised
Scheduling Officer
to join our Contact and Scheduling Team.
About the Role
The Scheduling Officer plays a key role in ensuring our clients receive consistent, reliable and appropriate support services.
Working closely with Support Workers, Care Managers, clients and other members of the CPE Group team, you will coordinate and maintain client schedules and employee rosters across the Perth metropolitan area.
This is a full-time position working Monday to Friday from our modern Osborne Park office.
The role reports to the Scheduling Team Leader and Care Team Manager.
The successful applicant will have previous scheduling or rostering experience, strong problem-solving skills and the ability to remain calm and professional in a busy and changing environment.
Experience in the aged care, disability, community services, healthcare or home care sectors will be highly regarded.
Key Responsibilities
Your responsibilities will include:
Coordinating and maintaining support worker rosters to meet client service requirements.
Allocating shifts and matching Support Workers based on client needs, worker skills, qualifications, availability, location and continuity of care.
Preparing and distributing rosters within required operational timeframes.
Managing roster changes, cancellations,



employee absences and urgent service requirements.
Identifying potential scheduling gaps and resolving issues proactively.
Ensuring client services are appropriately covered and minimising disruptions to care.
Communicating roster changes promptly and professionally to clients, Support Workers, Care Managers and other relevant stakeholders.
Working collaboratively with Care Managers to understand individual client needs, risks and service requirements.
Maintaining accurate employee availability, client service and scheduling information.
Monitoring Support Worker hours, travel requirements and roster efficiency.
Supporting the onboarding and allocation of new Support Workers.
Responding to telephone calls and enquiries from clients, families and employees.
Escalating concerns relating to client safety, service delivery or employee performance to the appropriate manager.
Assisting with general administrative and customer service duties as required.
Contributing to continuous improvement within the scheduling and contact team.
About You

You will be able to balance the needs of clients, employees and the organisation while maintaining a high level of accuracy and professionalism.
You will demonstrate:
Previous experience in scheduling, rostering, workforce coordination or a similar role.
Experience within aged care, disability support, community services, healthcare or home care.




A sound understanding of the operational requirements of community-based care services.
Strong organisational and time-management skills.
The ability to manage competing priorities and meet strict deadlines.
Excellent problem-solving and decision-making skills.
A high level of attention to detail and accuracy.
Strong written and verbal communication skills.
Exceptional customer service and relationship-management skills.
The ability to communicate professionally with clients, families, employees and managers.
The ability to remain calm and focused during periods of high activity.
Strong computer literacy and experience using rostering or client-management systems.
Proficiency in Microsoft Office, including Outlook, Word and Excel.
The ability to work both independently and collaboratively as part of a team.
A commitment to confidentiality, professionalism and person-centred service delivery.
Essential Requirements
The successful applicant will be required to hold or obtain:
A satisfactory National Police Clearance.
A current NDIS Worker Screening Check.
Full Australian working rights.
Evidence of any qualifications relevant to the position.
