Hotel Administrator (Front Office & Accounts) – Part Time
Overview
We are seeking an organised, customer-focused Hotel Administrator to join our team on a part-time basis.
This role blends guest interaction with finance and administration responsibilities.
It's ideal for someone who enjoys a dynamic environment with variety and impact.
Reporting to the General Manager and the Front Office Manager
What you'll bring
• Previous experience in a hotel Front Office or Hospitality Administration role.
• Experience with Accounts Receivable, Accounts Payable, Payroll, journal processing, and general accounting functions.
• Experience using Opera Cloud (Hotel Property Management System).
• Robust Microsoft Office skills, especially Excel.
• Excellent organisational skills and attention to detail.
• Ability to prioritise multiple tasks and meet deadlines.
• Strong communication and interpersonal skills.
• Positive, flexible, and proactive approach.
• High level of integrity and confidentiality when handling financial information.
• Passion for delivering exceptional customer service.
What you'll do
Front Office
• Welcome guests warmly and professionally.
• Manage efficient check-ins and check-outs.
• Handle reservations, guest enquiries, and telephone calls.
• Process guest payments and maintain accurate guest accounts.
• Deliver exceptional customer service and resolve enquiries professionally.
• Support the Front Office team during busy periods to ensure a seamless guest experience.
• Assist with group queries.
Accounts
•
Accounts Receivable:
prepare and issue invoices, allocate payments, maintain debtor records, follow up on outstanding accounts, and assist with month-end reporting.

Accounts Payable:
process supplier invoices, match to purchase orders, reconcile supplier statements, prepare payment runs, and maintain supplier records; ensure accurate coding and allocation of expenses.

Payroll:
assist with payroll processing, review timesheets, maintain confidential payroll records, and respond to payroll enquiries.

General Accounting:
prepare and post journals, complete daily banking and reconciliations, assist with month-end and year-end procedures, maintain filing systems, and support financial reporting to the General Manager.
Administration
• Assist with reporting, document management, and data entry.
• Support operational departments with administrative tasks as required.
• Maintain office supplies and filing systems.
• Undertake other duties to support efficient hotel operations.
