The Project Officer provides critical, end-to-end support to Senior Project Managers to ensure seamless coordination, subcontractor management, and high-quality deliver of company projects.
This role requires a strategic thinker who looks beyond day-to-day administrative tasks to understand how resource coordination, material planning, and technical document submissions drive overarching project success.
Supported by internal administration resources, the Project Officer takes a big-picture approach to project lifecycles while actively contributing to business growth through tender preparation, marketing initiatives, and promotional activities.
Education and Experience
· A tertiary qualification (Degree or Diploma) in Project Management, or demonstrated hands-on experience in a project support or coordination role
· Management/Coordination experience in fast paced dynamic office environments looked upon favourably.
· Previous exposure to technical and construction type roles – building, civil or other construction like activities.
· Previous understanding of and exposure to tender documents, specifications, and design drawings.
Skills and Competencies
Must Haves:
· Digital and systems literacy, with competency in standard office software, such as MS Excel, word, outlook, and project tracking tools, and the ability to quickly adapt to company specific systems.
· Ability to connect authentically and communicate effectively with a diverse range of people, from site- based subcontractors to senior council executives.
· Project Lifecycle coordination, practical understanding of project phases, tracking timelines, and coordinating project resources to keep deliverables on schedule.
· Fluency in English: Reading, Writing and Speaking
· Documentation and reporting,
proficiency in compiling clear project reports, preparing client document submissions and assisting with formal tender responses.
· Competent with qualified email composure
· Desire to develop sound technical knowledge to facilitate effective interactions with external parties.
· Excellent time management skills.
· Current Victorian driver's license
Advantageous:
· A baseline knowledge of civil construction methodologies, design principles, and standard industry tools.
· Existing certifications or vocational qualifications within the building and construction sector.
· A genuine desire to progress in the business with a long-term career path, with an eagerness to learn and grow within the business.

· High-level flexibility to multi-task, pivot between completing demands and effectively prioritise workloads.
· Highly organized and focused, with a proven ability to balance multiple project lifecycles simultaneously without sacrificing quality.
· Skilled at building mutual trust and understanding, creating a foundation for open, honest communication across the project team.
