Role Overview
Kaplan Business School and Kaplan University Partnerships ANZ are seeking two detail-oriented and highly organised Agent Experience Officers to join our Global Engagement and Partnerships team.
These positions play a critical role in supporting the administrative functions of our student recruitment operations and maintaining strong relationships with our global education agent network. Working within the Agent Experience Team and closely with the Student Recruitment and Finance Teams, you will be responsible for data management, commission processing, agent administration and reporting activities that contribute to successful recruitment outcomes and exceptional partner experiences.
The roles will primarily support the finance and administration functions of the team. We are looking for individuals who enjoy working with data, have strong Excel skills, a keen eye for detail, and take pride in delivering accurate and productive administrative support.
Key Responsibilities
- Manage the accurate entry, maintenance and validation of agent and student data across multiple systems and databases.
- Prepare reports and analyse data relating to agent performance, engagement activities, commissions and business outcomes.
- Process agent commission and bonus invoices, ensuring accuracy and timely submission for payment.
- Liaise with agents, finance teams and internal stakeholders to resolve commission-related enquiries and discrepancies.
- Coordinate agent onboarding activities, including processing new agent appointments, agreements and supporting documentation.
- Maintain accurate agent records and ensure compliance with internal policies, contracts and regulatory requirements.
- Respond promptly to agent enquiries via email, phone and other communication channels,
providing a high level of customer service.
- Support recruitment, compliance and operational projects while contributing to agent events, training initiatives and ongoing process improvements.
Key Requirements
- Previous experience in an administrative, finance support, operations or data management role with a strong focus on accuracy and attention to detail.
- Advanced proficiency in Microsoft Excel, including the ability to manage, analyse and report on data effectively.
- Demonstrated experience in data entry and database management with a high level of accuracy.
- Strong numerical aptitude and confidence working with financial information, invoices and reporting.
- Excellent written and verbal communication skills with the ability to build positive stakeholder relationships.
- Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines.
- Ability to work independently while also contributing positively within a collaborative team setting.
- Proficiency with Microsoft Office applications and CRM systems, with experience using Salesforce highly regarded.
