The office of Sharon Claydon MP, Federal Member for Newcastle and the Deputy Speaker of the House of Representatives is seeking a full-time, ongoing Office Manager (EOB) based in the Electorate Office in Newcastle. This role requires regular travel within the electorate and to Canberra for parliamentary sitting weeks.

POSITION OVERVIEW

The Office Manager ensures the smooth day-to-day operations of the Electorate Office to maximise the Member’s effectiveness and deliver an enhanced and professional office environment and constituent experience.

The Office Manager provides high level advice and support to the Member and ensures that constituents experience the Member’s office as a high-quality, professional service providing sound advice and timely solutions. The Office Manager will work closely with the Member’s team of staff and will oversee, manage and troubleshoot issues in relation to team management and workflows in the Member’s office.

DUTIES

Manage office operations and procedures to ensure maximum efficiency and effectiveness.

Support the Member in her capacity as both the Federal Member for Newcastle and Deputy Speaker of the House of Representatives, ensuring seamless coordination between the Member’s parliamentary, electorate, Australian Labor Party, and community responsibilities.

Provide strategic leadership to address and resolve complex issues, deliver high-priority projects, develop staff communications, and manage stakeholder relationships.

Staff Training and Management - oversee, manage and troubleshoot issues in relation to junior and relief staff and delegating and managing work and workflows of electorate staff in the Member’s Electorate Office including providing guidance and support to staff where needed.

Promote, support and maintain a secure, respectful and inclusive workplace culture.

Liaise with government departments,



organisations, stakeholders and constituents.

Issues management – provide sound advice to the Member and the team on issues facing the electorate and the office.

Project management – manage all major office projects including events and major publications.

Manage office records – including databases; filing systems; and tracking of constituent correspondence and emails.

Plan and coordinate functions, meetings and events with other staff members.

Design and update office manuals, guidelines, templates for specific constituent responses and events.

Manage the ICT Budget and office facilities to ensure a functional and well-equipped office.

Work with the Member and staff to ensure the safety and security of the office and team, including liaising with relevant authorities and Departments.

Manage incoming correspondence and enquiries - from multiple points of contact with the Member and her Office, including phone, email, mail, and face-to-face interactions ensuring high-priority issues are addressed quickly, and team workload is effectively distributed to meet deadlines and expectations.

Support the community outreach work of the Member and her office.

Working irregular work hours, including outside standard business hours and weekends as required.

Other duties as required to support the Parliamentarian and the effective operation of the Electorate Office.

KEY SELECTION CRITERIA

Demonstrated experience as an Office Manager or similar in a demanding public, non-profit or private sector environment.

Tertiary qualification in a related field or equivalent industry experience.

Demonstrated people leadership and experience in developing staff capability and building a high performing team.





Ability to work effectively and liaise with other Parliamentary and Ministerial Offices, the Australian Public Service, stakeholders and community organisations.

Excellent communication skills and the ability to communicate to a variety of audiences.

Demonstrated experience in working in a dynamic environment as part of a team.

Ability to manage constituent enquiries, liaise with relevant agencies and facilitate access to appropriate information, services and support.

Ability to research, comprehend and express complex issues.

Strong time management, prioritisation and organisational skills with well-developed office IT skills.

Experience in building, managing – and reporting on – office budgets.

Ability to work as part of a team, under time constraints and strict deadlines, with a minimum of supervision.

Demonstrated professional integrity and the ability to exercise discretion and maintain confidentiality.

Proven reliability in meeting deadlines and commitments especially in high pressure situations.

DESIRABLE CRITERIA

Passion, integrity and commitment.

Strong understanding of the Newcastle federal electorate – key issues, demographics, local organisations, networks and community groups.

Capacity to build and maintain good working relationships with diverse groups of people.

An understanding of Australia’s system of government and parliamentary processes.

Current Driver’s Licence.

Sense of humour.

EMPLOYMENT CONDITIONS

This position is offered under the Members of Parliament (Staff) Act 1984 and conditions are outlined in the Commonwealth Members of Parliament Staff Enterprise Agreement 2024-27 which include:

A commencing salary between $79,525 and $92,846 will be negotiated depending on experience and relevant skills.

An additional Electorate Staff Allowance of up to $33,615 is payable in recognition of, and as compensation for, reasonable additional hours of work.

Relocation assistance, studies assistance and paid study leave may also be available (subject to eligibility requirements).

An employer superannuation contribution of 15.4% will be payable.
