About the Role
Based in new state of art facility at Kemps Creek, the Project Manager's role is crucial for the Sales Team for building robust client relationships, ensuring satisfaction and fostering repeat business. They will be supporting the sales team through raising design briefs, creating new estimates, converting estimates to jobs and ensuring jobs are invoiced in timely manner.
This includes liaising with Sales, Design, Estimating, Planning, Prepress, Production and the Finance Team
This role requires strong attention to detail, excellent organizational skills, and a solid understanding of print production processes in both Litho, Wide Format Digital and Small Format Digital.
The success of the Team is based around our heavy 'team' culture where each member's workload expands and contracts and the rest of the team assist to support, as required daily. This ensures all client requirements are met in a timely manner.
Key responsibilities:
Develop and maintain strong working relationships with Design, Prepress, Production, Sales,



and Project Management teams to ensure seamless project delivery and exceptional client outcomes.
Ensure compliance with company administrative systems, policies, procedures, and operational standards.
Create and manage design and production job tickets based on customer briefs and project requirements.
Prepare accurate and comprehensive cost estimates using detailed specifications obtained from clients and the Sales team.
Submit quotations to clients in a timely and professional manner.
Convert approved estimates into production jobs, ensuring all relevant information is accurately captured.
Prepare and distribute physical job bag for the Production Coordinator and relevant stakeholders.
Upon receiving, review artwork files to confirm alignment with approved specifications, estimates, and production requirements.
Liaise with the Prepress team to obtain file approvals and resolve any artwork-related issues prior to production.
Maintain accurate and up-to-date Work in Progress (WIP) dates and production schedules.
Coordinate the procurement of all required materials, components, and tooling, ensuring availability in line with production timelines.
Verify that all production job information is complete, accurate, and production-ready before release to the production team.
Collaborate closely with the Production Coordinator to effectively plan, schedule, and execute production activities.
Facilitate pre-production meetings with key stakeholders to review project requirements, timelines, risks, and deliverables.




Monitor and manage outsourced production activities, ensuring they are integrated into overall project and production schedules.
Source, evaluate, and obtain competitive quotations from external suppliers and subcontractors as required.
Raise purchase orders for external suppliers and ensure all orders are receipted accurately upon delivery of goods or services.
Process customer invoicing promptly and accurately, ensuring correct purchase order references and billing amounts are applied.
Maintain and update pricing databases, rate cards, costing models, and standard cost sheets to support accurate quoting and profitability analysis.
Foster a collaborative team environment through knowledge sharing, effective communication and proactive problem-solving.
Coordinate with production teams to optimise resource allocation, manage priorities, and address operational bottlenecks.
Monitor project progress and proactively adjust schedules and plans to accommodate changes, mitigate risks, and ensure delivery commitments are met.
Promote effective cross-functional collaboration across all departments, including Management, Sales & Customer Service, IT, Workflow Development (WFD), POS Production, and Stores, to support operational efficiency and business objectives.
About You:
Knowledge of the print industry, including Litho/Lam, WFD and SFD, is advantageous.
Experience with PACE MIS is desirable, though full training will be provided.
Strong team player with excellent collaboration skills.
Proficient in Microsoft Excel and general computer literacy.
Ability to multi-task, prioritise, manage time effectively, and work autonomously.
Strong verbal and written communication skills with a professional phone presence.
