Dental One is looking for an efficient, proactive Enquiries & Customer Service Agent to join our growing team.
Based at our central Head Office in Templestowe, the Enquiries Team supports our clinic network by managing new and existing patient enquiries across phone, email and SMS.
This is a fast-paced, heavily phone-based role suited to someone who enjoys speaking with people, works confidently with technology and can manage their workload without needing constant reminders or direction.
About the Role
As part of the Enquiries Team, you will be responsible for:
Answering incoming patient phone calls
Responding to patient enquiries by email and SMS
Contacting and actioning new patient leads
Managing leads and follow-up tasks through our CRM
Providing clear and accurate information about our clinics, services and appointments
Supporting patients with bookings and general enquiries
Keeping patient records, notes and follow-up tasks accurate and up to date
Working closely with the team to ensure enquiries are managed promptly and nothing is missed
This role requires someone who can identify what needs to be done, prioritise their workload and move on to the next task without continually being prompted.
Hours and Work Arrangements
The team operates across staggered shifts from 8:00 am through to 6:30 pm.
Saturday availability is required, either on an alternating roster or for a minimum of one Saturday per month.
This role is not suitable for someone seeking a fully remote position however
hybrid work may be offered
once full training has been completed and will depend on the successful applicant's performance, suitability and ability to manage the role independently.
The Team Environment
We work within a small, close team, so being a team player is extremely important.
Everyone needs to communicate clearly, support each other and take responsibility for their own workload. We enjoy having a chat and a laugh,
but the work still needs to get done, and each team member is expected to manage this without repeated reminders.
What We're Looking For
You will be:
Proactive and able to work well within a team
A quick learner who can confidently pick up new systems and processes
Effective, organised and able to manage competing priorities
Comfortable spending a large part of the day on the phone
Confident communicating through phone, email and SMS
Reliable and consistent with completing follow-up tasks
Comfortable working with CRM systems and digital tools
A genuine team player who communicates and contributes
Friendly and approachable while remaining focused and productive
Available to work across staggered weekday shifts and the required Saturday roster
Additional languages are an advantage due to the diverse patient base we support across Melbourne.
Dental or healthcare experience is highly regarded, particularly for dental assistants or receptionists looking to move away from a clinic-based position.
Strong customer service, sales or call centre experience will also be considered.
A Technology-Focused Workplace
Dental One continues to develop and test new systems, automations and AI-supported workflows.
You will need to be comfortable learning new tools, adjusting to process improvements and using technology to work more efficiently while still providing a genuine and personal patient experience.
What We Offer
A supportive, team-focused work environment
Training across our systems, services and processes
Potential hybrid work following successful completion of training
Opportunities to grow as the team and organisation continue to develop
Employee dental discounts following successful completion of probation
A professional office-based role within a growing dental group
If you are proactive, effective, enjoy working with people and take pride in managing your own workload, we would love to hear from you.
