Role Overview
This is not a construction Contracts Administrator role.
We are seeking an experienced new build property sales Contracts Administrator to manage the end-to-end contractual lifecycle of residential property sales — from Expression of Interest (EOI) through to Unconditional, Settlement, and Handover.
In this role, you will sit at the intersection of clients, buyer's agents/property advocates, solicitors, developers, and builders, ensuring residential property contracts are issued correctly, executed efficiently, and tracked with precision throughout the sales journey.
If your experience is grounded in real estate sales administration, project marketing, conveyancing support, or developer-side sales contracts, this role will feel familiar, fast‐paced, and rewarding.

About You
You are highly organised,



detail‐driven, and comfortable owning the administrative and contractual backbone of property sales.
You understand how new build property transactions work — including buyer's agent involvement, developer processes, cooling‐off periods, variations, and settlement milestones.
You're confident issuing contracts, tracking amendments, and liaising with multiple stakeholders to keep deals moving.
You May Come From
Project marketing or developer sales administration
Real estate sales support or contracts administration
Conveyancing or paralegal support (property‐focused)
Buyer's agency or property advocacy operations
Candidates from a builder or developer environment are welcome where experience relates to sales contracts, not construction delivery.
Key Responsibilities
Manage the end‐to‐end contract lifecycle (EOI → Contract Issuance → Unconditional → Settlement/Handover)
Issue and manage contracts using DocuSign or similar platforms
Coordinate closely with buyer's agents/property advocates, clients, solicitors, developers, and builders
Prepare and process contract documentation, amendments, variations, and re‐sales
Track deposits, refunds,



and payment milestones with external stakeholdersMaintain accurate records and contract status reporting within the CRM
Ensure contract accuracy, compliance, and audit‐ready documentation
Support live property launches, presentations, and project marketing initiatives as required
What We're Looking For
Demonstrated experience in new residential build property sales contracts
Strong understanding of real estate transaction workflows
Experience issuing contracts (DocuSign or similar preferred)
Excellent written and verbal communication skills
High attention to detail and process discipline
Ability to manage multiple contracts at different stages simultaneously
Comfortable liaising with external stakeholders and managing deadlines
Proactive, organised, and solutions‐focused mindset
Qualifications & Experience
2–3+ years' experience in real estate, project marketing, conveyancing, or developer sales administration
Knowledge of buyer's agent / property advocate processes highly regarded
Builder or developer experience relevant to sales contracts considered an advantage
Clear Police and Credit Reports (mandatory)
Willingness to travel interstate for live property events (as required, approx. 6 times per year)
