About the role
The Maintenance Administrator is a critical part of our operational team, working closely with Maintenance Managers to ensure our fleet is maintained to a high standard and ready to perform.
This is a rapid-paced, detail-focused role where your ability to stay organised, think critically and communicate effectively will directly impact customer satisfaction, fleet performance, and cost control.
Key responsibilities
Communicating with customers, workshops and suppliers to coordinate maintenance and repairs
Issuing repair orders and instructions to service providers
Approving and coding maintenance invoices accurately
Ensuring invoices match approved work and stay within agreed limits
Monitoring maintenance costs and identifying trends or opportunities for improvement
Querying warranty,
insurance and manufacturer-related issues
Managing maintenance records and ensuring data accuracy in systems
Supporting the development and improvement of maintenance processes and policies
Ensuring damage-related costs are identified and recovered
Building strong working relationships with suppliers and internal teams
About you
A robust administration background with excellent organisational skills
High attention to detail and a meticulous approach to work
A curious mindset with the confidence to ask questions and dig deeper
Strong written and verbal communication skills
Ability to multitask and manage changing priorities
Confident using Microsoft Office (particularly Excel) and systems
A team player who builds solid relationships across the business
A continuous improvement mindset with a desire to make things better
