The Prospect
Lions Outback Vision (LOV)
was established in **** with the support of Lions Eye Institute and the University of Western Australia.
We are a small but dedicated team of eye health professionals that are firmly committed to improving the eye health of rural, remote and Indigenous West Australians.
LOV has an exciting opportunity for a motivated and well-established Administration Officer to join us on a full-time, fixed-term contract (with the potential of extension).
Key Responsibilities includes:
Consultation and collaboration to ensure effective and efficient delivery of LOV Ophthalmology clinics, Vision Van bookings, surgery clerical duties in Perth and regional settings
Ensuring clinic bookings and patients appointments are optimally maintained and up to date prior to commencement of each clinic
Monitoring and managing communications via LOV Inboxes; accurately collating new referrals for appointment; creating new patient records in patient record management systems
Liaising with external LOV stakeholders to ensure effective patient management and follow-up
Managing the statewide logistics of the Vision Van (including all associated staff travel bookings), managing identified Outreach travel bookings, and managing the vision van roster/schedule and weekly circulation
Essential Criteria:
Relevant qualification and/or previous proven success in a patient-centered administrative role.
Proven ability to work accurately and confidentially in records management databases
Demonstrated ability to work in a culturally competent manner.
Proficiency in the Office suite of systems and google sheets/calendars.
Evidence of highly developed written and verbal communication skills.
Demonstrated ability to manage complex queries and situations in person or by telephone.
Able to set priorities, meet deadlines and demonstrate efficient and effective time management and organisation skills in a complex fast-paced environment where there are competing demands.
Demonstrated ability to follow directions as assigned and also to work independently/autonomously and show initiative.
Demonstrated effectiveness as a dynamic independent team member who is able to follow directions as assigned.
Demonstrated understanding of and ability to contribute to Quality and Continuous Improvement activities.
Desirable Criteria:
Administration experience in multi-disciplinary medical environment.
Working knowledge of optometry and/or ophthalmology clinics
Demonstrated understanding of patient referral systems
