St. Francis Xavier and St. John's Parish, Frankston, is seeking a highly organised and personable Administrative Assistant to support the sacramental and liturgical life of our parish community.
This role is integral to the smooth operation of the parish office, providing administrative support to the Sacramental Coordinators, maintaining accurate parish records, preparing weekly parish communications, and assisting with the administration of Masses and sacramental celebrations.
Working closely with the Parish Priest, parish staff, and volunteers, you will help ensure the effective delivery of parish services while fostering a welcoming and well‐organised environment for parishioners and families.
This position is ideally suited to someone with strong administrative skills, excellent attention to detail, and an appreciation of the mission and values of the Catholic Church.
KEY RESPONSIBILITIES
Parish reception duties - attend to all relevant correspondence and communications in a timely and effective manner and to ensure a smooth flow of communication to and from the Office.
Provide administrative support to the Sacramental Coordinators.
Prepare the lists and certificates for all sacraments.
Accurately record all sacramental data in the PACEM Parish System.
Prepare, design, and format the weekly Parish Bulletin.
Collate announcements,
liturgical notes, and community updates to ensure the bulletin is accurate, proofread, and ready for printing by the required deadline.
Prepare the Mass intentions and Prayers of the Faithful, and organise them in folders for the Priest and Readers for weekday and Sunday Masses.
Work collaboratively with the team of parish volunteers.
Maintain a high level of confidentiality and discretion.
WHAT YOU BRING
Demonstrated administrative experience with strong organisational and time management skills.
Proficiency in Microsoft Office and experience using design software such as Canva or Publisher.
Excellent attention to detail and the ability to maintain accurate records and databases (experience with PACEM or similar software is desirable).
Strong written and verbal communication skills.
The ability to manage multiple priorities and meet regular deadlines.
A collaborative and approachable working style, with the ability to build positive relationships with staff, volunteers, and parishioners.
A high level of discretion and commitment to maintaining confidentiality.
Reliability, initiative, and the ability to work both independently and as part of a team.
An understanding of and commitment to the mission and values of the Catholic Church, with an appreciation of its liturgical and sacramental life.
