Part-time or Full-Time
This role can be full-time or part time (2-3 days per week) depending on the applications we receive. However you must be available to work from 8.45 am until 5.15 pm.

It's about balancing empathy with professionalism—helping families feel supported while confidently managing appointments, maintaining appropriate boundaries, upholding practice policies and keeping the practice running smoothly.

About us
Northern Centre for Child + Adolescent Development and Northern Centre for Adult Psychology are established private psychology practices supporting children, adolescents, adults and families.
Our clinicians deliver exceptional psychological care, and our reception team make that possible by creating a welcoming client experience, supporting our clinicians and helping the practice run efficiently every day.
About the role
You'll welcome clients into the clinic, coordinate bookings across multiple psychologists, help recent families navigate our services,
manage cancellations, process payments and keep clinician diaries running smoothly.
You'll play a key role in ensuring our appointment books remain full and efficient while delivering an exceptional experience for everyone who contacts the practice.
Your responsibilities include:
Welcoming clients into the clinic
Managing incoming phone calls and emails
Responding to current enquiries and coordinating bookings
Matching clients with appropriate clinicians
Maintaining clinician calendars and maximising appointment utilisation
Managing cancellations in accordance with practice policies
Confidently discussing fees and processing payments
Maintaining accurate client records
Supporting clinicians and the management team with day-to-day administration
Contributing ideas to improve systems and the client experience

Essential experience
Previous Allied Health or Medical reception or administration experience
Excellent verbal and written communication skills
Exceptional organisational skills and attention to detail
Confidence using Google Workspace
Ability to manage competing priorities independently
Desirable
Experience with Zanda (formerly Power Diary)
Experience using Asana
