Administration Officers (Theatre Bookings & Health Fund Eligibility)
Casual 2-3 days a week | potential to transition to permanent part-time in the future!
About Us
Western Private Hospital, located in Footscray, is a 62-bed private acute hospital and is the longest serving private hospital in Melbourne's west providing much needed services to the people in the expanding North West and Western regions of Melbourne and surrounding areas.
WPH's facilities include four Operating Theatres, CSSD, Day Procedure Unit, Day Oncology Unit, Overnight Ward for CCU, HDU & Surgical patients, Cardiac Catheter Laboratory, Specialist Consulting Suites, PET Centre/Nuclear Medicine and supported by pathology, pharmacy, radiology and radiation therapy services.
About the Role
We currently have casual vacancies for 2 x Administration Officers to join and support the Patient Administration Services Team to undertake theatre bookings and verifying health fund eligibility – working across Monday to Friday, initially starting on a casual basis (2-3 days per week), with the potential to transition into a permanent part-time role in the future.
Duties and responsibilities will include (but are not limited to) –
Theatre Bookings
–
entering all surgical theatre bookings into WebPAS whilst working closely with clinical staff to ensure accuracy of the bookings to the Theatre Module to assist with planning; and coordinating timely surgical lists; communicating with Surgeon's rooms and their Practice Managers / Secretaries, Front Office Manager, Perioperative Services Manager, and the administration and pre-admissions teams;
processing of patients' admission/procedure details inc. registering patients into WebPAS and scheduling patient attendance, data entry of MBS item numbers performed and prosthesis used;
general theatre reception, answering phone and assisting and supporting operating theatre clinical staff with indirect patient care and administrative tasks.
Health Fund Eligibility
–
this function plays a fundamental part in providing accurate estimates of patient expenses, assessing health fund eligibility, excesses/co-payments and ensuring informed consent is gained from patients before admission;
you will be responsible for communicating with patients, health funds and doctors' rooms regarding health fund coverage and any amounts owing prior to admission and to ensure revenue opportunities are maximised.
About You
You will require a high degree of initiative, self-management, attention to detail and tact to deal with a range of functions and tasks. You will have the ability to work collaboratively and cooperatively in a team environment, while building and maintaining positive relationships and strong communication networks with all staff, patients, health funds, doctor's secretaries, Visiting Medical Officers and all other customers.
Selection Criteria
Previous experience working in similar roles (in a private hospital setting highly preferred)
For the theatre bookings function, you have experience in the hospital bookings processes inc. prosthesis and MBS item numbers
For the health fund eligibility function, you have sound knowledge of private health funding system; and comprehensive understanding and experience with the process of private health fund eligibility checks, informed patient consent, estimates of expenses, excesses/co-payments
Excellent working knowledge of patient management systems (WebPAS preferred) & IT savvy with Microsoft Office
Excellence in customer service; outstanding interpersonal & communication skills; professional presentation
Meticulous attention to detail when handling patient data with high levels of accuracy
Must be proactive, show initiative at all times with a positive solution orientated attitude
Must possess excellent judgement, problem solving and decision making skills
Willingness and ability to learn and complete new tasks and the flexibility to embrace changes
Flexibility and availability to work varying days and shift times
Team player,
self-directed and motivated with highly developed time management and organisational skills and the ability to prioritise tasks, be responsive and meet deadlines in a busy, changing and demanding setting
