About Our team
is seeking a highly organized, self-motivated individual to support financial operations related to research, including budgeting, invoicing, account management, cost projections, liaising with uOttawa Financial department, and other matters on an ad hoc basis. The position would jointly support two activities directed by Dr. Marc-Andre Langlois, with an expected 50% time allocation to each: CoVaRR-Net – a multi-disciplinary network of researchers across Canada founded in response to the COVID-19 pandemic and funded by CIHR.The University of Ottawa Serology and Diagnostics High-Throughput Facility ("the Facility") is a facility centered around an automated platform for assessing antibody levels. Our highly skilled technical team employs robotic liquid handlers to perform large-scale immunological analysis on blood samples.
Position Purpose
Plan and coordinate the activities related to the financial operations of CoVaRR-Net/the Facility, including budgeting/budget review, financial transactions, financial documentation and invoicing, in order to provide support and advice to managers and ensure that uOttawa and CIHR policies and procedures are well understood and properly implemented.
In This Role, Your Responsibilities Will Include
Budget: Administer internally- and/or externally-funded budgets to ensure compliance with established policies. Analyze financial statements against budgets for various types of funds to identify and address any inconsistencies. Perform all research and analysis necessary to provide recommendations to managers and/or researchers on the effective preparation of budgets, budget projections, and shortfalls to maximize use of funds and optimize expenditures.
Financial: Administer the ongoing financial transaction processes for CoVaRR-Net/the Facility, to maintain financial integrity and transparency and ensure compliance with established policies. Act as an intermediary with uOttawa Finances department for approval of orders, invoices, travel advances, requests for reimbursement, and credit card statements to verify that documentation and taxation are correct.
Payroll:
On an ad-hoc basis, verify payroll reports for accuracy and liaise with Payroll Services to reconcile any inconsistencies.
Purchasing: On an ad-hoc basis, purchase goods and services for CoVaRR-Net/the Facility, via purchase order or on credit card, in compliance with all relevant policies. Request estimates from suppliers on behalf of CoVaRR-Net/the Facility and provide recommendations.
Records management: Maintain an effective filing and records management system to preserve confidentiality of the records and ensure that complete and accurate documentation is available for future reference or audit purposes.
Reporting: Prepare various moderately complex reports, on a schedule as well as an ad-hoc basis, on financial transactions, accounts, payroll, and budget projections of the sector to support ongoing operations and strategic planning. In collaboration with Financial Resources, submit required financial data to meet reporting requirements of granting agencies. Control and prepare any financial records as required for audit.
Documentation: Write and maintain procedure manuals for internal use on procedures, processes, and systems related to the incumbent's responsibilities.
Supervision of others: May supervise work performed by junior administrative support roles to organize priorities and provide guidance in the attainment of individual objectives.
Essential Qualifications
Advanced knowledge of accounting principles normally acquired through postsecondary studies in a related discipline or an equivalent combination of education and work experience
Minimum 3 years of demonstrated experience in a similar role
Other Qualifications
Finance experience gained from working in a university is considered an asset
Knowledge of computer systems and software including financial systems, spreadsheets, databases, Internet, and e-mail
Experience in interpreting, explaining, and applying policies and regulations
Experience in preparing reports
Ability to produce high-quality work under pressure while meeting strict deadlines
Experience with Workday administrative system
Strong interpersonal and communication skills
Strong organizational skills
High level of discretion
Bilingualism –English and French (spoken and written)
