The Community of Cypriots of the Northern Suburbs of Melbourne – Epping VIC
CYPACS is a well-established not-for-profit organisation operated by the Community of Cypriots of the Northern Suburbs of Melbourne.
We proudly provide quality aged care services through our two residential aged care facilities—
Grace of Mary Hostel
and
St Andrews Hostel
—as well as our growing Support at Home Program.
Our focus is on delivering high-quality, person-centred services that enable older people to live independently, safely and with dignity while remaining connected to their community.
About the Role
Due to the continued growth of our Support at Home Program, we are seeking an organised, proactive and customer-focused
Support at Home Administration & Rostering Officer
to join our team.
Reporting to the Support at Home Coordinator, you will play an integral role in supporting the day-to-day operations of the program. This is a varied role suited to someone who enjoys working in a fast-paced environment where no two days are the same.
Key Responsibilities
Provide administrative support to the Support at Home Program.
Assist with rostering, schedule changes and service coordination.
Respond to telephone enquiries from clients, families and stakeholders.
Screen new enquiries and identify the appropriate program pathway (e.g. CHSP, Support at Home or Assistive Technology & Home Modifications).
Assist with referrals and service commencement.
Liaise with clients, families, support workers, contractors and external service providers.
Order products, equipment and services for clients.
Coordinate procurement activities and contractor administration.
Assist with recruitment activities, including advertising, applicant screening,



interview scheduling and onboarding administration.
Match supplier invoices against approved services and purchases.
Prepare client, contractor and service documentation.
Maintain organised electronic records and administrative filing systems.
Provide administrative support for quality, compliance and continuous improvement activities.
General office administration and data entry.
Undertake other administrative duties as required to support the ongoing growth of the program.
What You'll Bring
We're looking for someone who is organised, proactive and enjoys working in a fast-paced environment. You take genuine pride in producing high-quality work, have exceptional attention to detail and understand the importance of accuracy when supporting older people and their families.
You are reliable, accountable and genuinely care about delivering a high standard of service to clients, families, colleagues and external stakeholders. You enjoy being part of a team, are willing to roll up your sleeves when required and are always looking for ways to contribute to the success of the program.
Previous administration experience within the Australian aged care sector.
Demonstrated knowledge of the Australian Government Support at Home Program and/or CHSP.
Understanding of My Aged Care and aged care referral pathways.
Excellent organisational and time management skills.




Strong written and verbal communication skills.
Professional and confident telephone manner.
High level of computer literacy, including Microsoft Office.
Excellent attention to detail and a high level of accuracy.
Takes pride in producing quality work and maintaining high administrative standards.
Demonstrated initiative and the ability to identify tasks that need to be completed.
Ability to follow direction, adapt to changing priorities and work within established processes.
Ability to manage competing priorities in a busy environment.
Positive, flexible and team-oriented attitude.
National Police Check (or willingness to obtain).
Experience with rostering or workforce scheduling.
Experience with procurement, contractor administration or invoice matching.
Experience using aged care client management software.
Ability to speak Greek.
