Our client is seeking an experienced Financial Planning Assistant to provide high-quality administrative and client service support to their well-regarded financial planning business.
Reporting directly to the Managing Director, this is a varied and important position supporting the administration, implementation and ongoing management of the financial planning process.
The role will suit someone who enjoys working closely with advisers and clients, takes pride in accuracy and compliance, and can confidently manage multiple priorities.
The roleYour responsibilities will include:
Preparing and processing advice documentation, application forms, execution-only documents and associated paperwork.
Supporting the implementation of new business and ongoing client reviews.
Maintaining accurate client information, records and documentation within the CRM.
Preparing reverse fact finds, reports and documentation for upcoming client meetings.
Liaising with clients, product providers, Centrelink and other third parties.
Coordinating third-party authorities and obtaining policy and investment information.
Managing term deposit maturities and assisting with insurance administration.
Sending documents through DocuSign and following up outstanding client signatures.
Assisting with Fee Disclosure Statements, consent and opt-in requirements.
Monitoring adviser calendars, workflows and assigned tasks to ensure deadlines are met.
Maintaining compliant client files and ensuring records meet licensee requirements.




Assisting clients with general enquiries, withdrawals and administrative requests.
Supporting SMSF documentation, seminars, newsletters and other client initiatives.
Contributing to team meetings and ongoing process improvements.
About youTo be successful in this position, you will ideally have:
At least 3–5 years' experience in a Financial Planning Assistant, Client Services Officer or similar financial advice support role
A sound understanding of the financial planning advice and implementation process
Experience preparing and processing financial planning documentation and application forms
Strong client service and communication skills
Excellent attention to detail and a commitment to accuracy and compliance
The ability to manage competing priorities and complete tasks within agreed timeframes
Confidence liaising with advisers, clients, product providers and external stakeholders
Strong computer literacy and experience working with financial planning CRM and workflow systems
Experience using Midwinter, which would be highly regarded
A qualified, proactive and team-focused approach
