About The Role

We are looking for a highly organised and proactive Executive Assistant to provide exceptional support to the AEP Chief Investigator and Executive Team. This is an opportunity to work at the centre of a nationally significant health initiative while helping drive groundbreaking research and innovation. Reporting to the AEP Chief Investigator, you will manage executive administration, coordinate communications and meetings, support governance activities, and help ensure the smooth operation of a dynamic and growing organisation. This flexible role is available from 0.6 to 1.0 FTE and may suit someone seeking school-hours employment. The position is primarily based at the Melbourne Brain Centre in Heidelberg, with hybrid flexibility available by arrangement.

What You'll Do

- Manage diaries, appointments and competing executive priorities




- Coordinate meetings, agendas, briefing papers, minutes and actions
- Act as a key point of contact for internal and external stakeholders
- Draft professional correspondence, reports and presentations
- Support advisory committee and executive meetings
- Organise travel, conferences and stakeholder events
- Maintain records, databases and administrative systems
- Assist with project coordination and tracking key deliverables

About You

You are a qualified and detail-oriented Executive Assistant who enjoys building strong relationships and helping leaders perform at their best.

- Experience supporting senior executives or leadership teams
- Exceptional organisational and time management skills
- Strong written and verbal communication abilities
- Advanced Microsoft Office skills
- High levels of discretion and professionalism
- The ability to manage multiple priorities in a fast-paced environment
- Experience in healthcare, research, university or medical environments
- Experience supporting strategic projects
- A qualification in Science, Health or a related discipline
