The Role
The Clinical Trials Project Manager will provide dedicated project management support for the ERAS+ Trial, a large investigator-led, multi-site implementation trial. Working closely with investigators, research teams and key stakeholders, the successful candidate will coordinate study start-up activities, sponsorship, ethics and governance submissions, site activation, regulatory compliance, project reporting and financial management to ensure the trial is delivered in accordance with approved timelines and regulatory requirements.
This is a fixed-term, 0.8 EFT position (64 hours per fortnight) based in Melbourne. The position reports directly to the Research Manager – Division of Surgery and works closely with the study leadership team, Director of Anaesthetics and Senior Research Manager, Clinical Research Unit.
Applicants should have demonstrated experience in clinical trial coordination, project management or health research, including managing complex projects involving multiple stakeholders. Experience with clinical trial start-up, ethics and governance submissions, site management and regulatory compliance will be highly regarded.

Position Summary
The Clinical Trials Project Manager is responsible for the planning, coordination, and delivery of clinical research projects and clinical trials, including complex multi-site studies. The role has primary responsibility for ensuring studies are delivered in compliance with regulatory requirements, within budget,
and in accordance with approved protocols and timelines, including proactive management of risks, issues and study performance.
The Project Manager works closely with investigators, CRU research teams, and key stakeholders, and acts as a central point of coordination and escalation for study activities across sites.
This role requires a high level of organisational capability, independent judgement and operational autonomy, particularly in the delivery of large investigator-led trials. This may include responsibility for the delivery of large, multi-site and methodologically complex trials (e.g., cluster randomised or implementation studies), requiring coordination across diverse health service settings and adaptive management of study activities.

Skills
- Relevant tertiary qualification in health, science, or a related discipline
- Demonstrated experience in managing clinical trials, including multi-site studies and/or complex clinical research project management
- Strong knowledge of clinical trial regulatory requirements and Good Clinical Practice (GCP)
- Proven experience in budget development, financial tracking, and resource management
- Experience in research monitoring and quality assurance processes
- Experience contributing to or developing clinical research protocols
- Excellent organisational and time management skills, with the ability to manage multiple projects simultaneously
- Strong communication and stakeholder engagement skills
- High attention to detail and commitment to quality and compliance
- Experience in oncology or a related clinical specialty
- Familiarity with institutional and ethics governance processes
- Experience in grant writing and/or contributing to successful research funding applications
Key Accountabilities
Project Management and Coordination
- Lead the planning, implementation, and tracking of clinical research projects and trials
- Develop project timelines, milestones, and deliverables to ensure effective study execution
- Coordinate multidisciplinary teams, including investigators, research nurses, and support staff
- Monitor study progress and proactively address risks, issues, and delays
- Monitor and manage site performance against predefined response thresholds, including supporting adaptive changes to study implementation strategies where required
Site Management & Coordination
- Support site onboarding and feasibility assessment, including coordination of site selection, eligibility confirmation and documentation requirements
- Act as the central coordinating point for participating sites,
ensuring consistent processes and communication
- Oversee site initiation, activation and ongoing performance, including recruitment and data quality
- Work with sites to troubleshoot issues and support study delivery
Regulatory Compliance
- Ensure all clinical trials and research activities are conducted in compliance with local, national, and international regulatory requirements (e.g., GCP, ethics approvals)
- Oversee preparation and submission of regulatory documentation, including ethics and governance applications
- Act as a key liaison between Investigators, Sponsor, and governance bodies
- Maintain accurate and up-to-date trial master files and essential documents
- Support audit readiness and coordinate responses to audits, inspections, regulatory queries
- Coordinate study activities across multiple governance frameworks and participating institutions, ensuring consistent compliance while accommodating site-specific requirements

Protocol Development & Study Start-Up
- Contribute to protocol development and review
- Collaborate with investigators on study design and methodology
- Lead or support feasibility assessments and study start-up activities
- Coordinate site initiation processes and investigator meetings
Stakeholder Engagement and Reporting
- Build and maintain effective working relationships with investigators, sponsors, and internal stakeholders
- Act as a primary point of contact for project-related communications
- Provide regular, structured reporting on study progress, implementation outcomes and site performance, supporting investigator and committee decision-making
