To support Waterform's growth by ensuring incoming enquiries, service report follow-ups, routine account management tasks, and proactive customer check-ins are handled promptly, professionally, and commercially.
This role helps convert service activity into customer confidence, repeat work, small project opportunities, chemical sales, rental opportunities, and long-term service relationships.
The role is primarily Bendigo-based and back-office focused, with future progression opportunities into technical sales, service coordination, engineering or business development.
Position summary
The Internal Sales Role is a customer-facing support role within Waterform, responsible for keeping in regular contact with existing and prospective customers, following up on service activity, supporting sales administration, and identifying opportunities for further work.
The role sits between service delivery, sales, operations, and customers. It is not expected to be a senior technical sales role from day one, but the person must be organised, proactive, commercially alert, and comfortable speaking with customers.
A key part of the role is making sure that no enquiry, service recommendation, customer issue, or follow-up opportunity falls through the cracks.
Key responsibilities
1. Incoming enquiries
Receive, triage, and respond to incoming enquiries, including:
- Breakdown or support requests
- Chemical supply enquiries
- General wastewater treatment questions
- Requests for pricing, visits, or further information
- Ensure enquiries are logged, followed up, and handed to the right person where required.
2. Service support and follow-ups
Service scheduling and support including:
- Assist Operations Manager in service scheduling, travel arrangements, re-tooling and parts supply
- Service report follow ups including liason with clients for recommended repairs, consumables or spare parts, chemical adjustments, equipment issues,
compliance risks, operator concerns, further testing, cleaning, or servicing requirements
- Contact customers after service visits to confirm they have received the report, understand the recommendations, and determine whether Waterform can assist further.
3. Routine account management
Maintain regular contact with existing Waterform customers to support retention and customer satisfaction.
This may include:
- Confirming upcoming maintenance needs
- Following up open quotes
- Confirming chemical stock levels
- Checking whether treatment systems are operating as expected
- Identifying pain points before they become urgent
- Keeping CRM/account notes up to date
- Supporting recurring service, chemical, and rental customers
4. Proactive customer check-ins
Make structured outbound calls and emails to selected customers, including:
- Recent service customers
- Key recurring accounts
- Customers with open recommendations
- Customers likely to need chemicals, parts, or further servicing
- Customers with known wastewater issues
5. Sales and quote support
Support the sales and service teams with administrative and coordination tasks, including:
- Following up quotes
- Updating prospect registers
- Coordinating handover of larger opportunities
- Gathering customer information before technical review
- Assisting with CRM updates
- Supporting customer proposals where required
- Tracking small works, service, chemical, and rental opportunities
6. Internal coordination
Work closely with service technicians, operators, account managers, and managers to ensure customer issues are properly understood and actioned.
This includes:
- Clarifying service report recommendations
- Escalating urgent customer issues
- Coordinating with technical staff where specialist input is needed
- Ensuring customer commitments are recorded and followed up
- Helping convert field intelligence into commercial opportunities
